Hunger Free America (founded in 1983 as the New York City Coalition Against Hunger) is a dynamic and highly effective national progressive anti-hunger advocacy and direct service organization that is based in New York City but works in all 50 states. 
The Nation has written that the organization has grown into “one of the leading direct service and advocacy organizations on hunger and poverty in the nation.” 

Our mission is to build a nonpartisan, grass-roots movement to enact the progressive public policies and programs needed to end domestic hunger and ensure that all Americans have sufficient access to nutritious food. Our long-term goal is not just to ameliorate the problem, but also to build the people’s movement necessary to enact the economic and public policies needed to end hunger entirely. Given that hunger drains our economy and tears at our moral and civic fabric, we know that eliminating it will boost the nation both economically and spiritually. Towards that end, we have adopted the motto: “Ending hunger lifts us all.” 

HFA is seeking to fill a temporary, full-time Administrative Assistant position that will report to the Administrative Coordinator with additional support/guidance from the CFO. The full-time role will conclude three months after the commencement date.

This position must be filled by a qualified Dislocated Worker. Candidates must pass a brief Dislocated Worker screening to be eligible for the position. Candidate must qualify as a Dislocated Worker. A "dislocated worker" is someone who lost their job due to one of the following situations: 
- You were terminated or laid off from your job, are eligible for Unemployment Insurance benefits, and are identified by us as unlikely to return to your previous industry or occupation. 
- You lost your job as a result of a plant closing or substantial layoff. 
- You have been unemployed for a long time and are unlikely to get another job in the same or similar occupation. 
- You were self-employed and are unemployed due to general economic conditions or a natural disaster. 
- You may also be considered a dislocated worker if you have been away from the labor force for many years. For example: you were a full-time homemaker, and you must now return to the labor force because you have lost your source of income. 

Responsibilities:

    • Assist the Administrative Manager in onboarding, offboarding, and employee benefit enrollment and maintenance processes, working with department heads and IT as required. 
    • Assist with scheduling interviews, as well as all-staff, all-manager, or smaller team meetings by finding common time on participants' calendars. 
    • Assist with implementation and maintenance of IT policies and serve as liaison between staff and IT provider as needed. 
    • Assist with scheduling virtual and in-person site visits for HFA’s CEO. 
    • Assist with the payroll process, including sending regular follow-ups and reminders to staff. 
    • Assist the Senior Accountant and CFO with organizing receipts and reimbursement requests. 
    • Manage the process of scanning all physical paperwork into electronic format and designing an electronic filing system for all of the organization’s documents. 
    • While work continues to be primarily remote: retrieve mail, scan all documents, and distribute them to the proper staff. 
    • Carry out other duties, as assigned.  

Qualifications:

    • Position is required to physically work in New York City about 2-3 days per week, so applicants must reside in NYC. (Note – HFA is currently operating primarily remotely after the COVID-19 outbreak, but this position will require to physically visit to our Manhattan office for administrative purposes such as opening and sorting mail). 
    • Familiarity with working in an office environment.
    • Ability to research and troubleshoot solutions to problems and present potential solutions to teammates for discussion and approval. 
    • Comfortable challenging the status quo of current processes and policies. 
    • Strong organizational and project management skills, with proven ability to multi-task effectively and follow up with others as required to meet deadlines. 
    • Microsoft Office experience, including basic Excel function skills and intermediate Word formatting skills. 
    • Excellent note-taking skills, including during meetings, during training, and summarizing daily activities. 
    • Strong business writing skills, especially in drafting all-staff email updates and reminders. 
    • Commitment to, and passion about, HFA’s mission to end hunger in New York City and nationwide. 

Essential Physical Needs:

    • The person in this position:  
    • Must be able to frequently remain in a stationary position.  
    • Occasionally moves about inside the office to access file cabinets, office machinery, other offices, etc. 
    • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.

Salary and Benefits

    • This is an entry-level position with a nonprofit organization.
    • This position is temporary.
    • Full-time (35 hours per week) position is non-exempt with a rate of $25 per hour, ending three months after being hired with the potential for extension.
