Job Summary:
The Data Specialist is responsible for managing and processing medical waivers and Military Entrance Processing Station (MEPS) physical requests using national systems, as well as researching and maintaining personnel records for current and former military members. The role ensures accurate data tracking, timely workflow processing, and strict compliance with applicable regulations and privacy policies. In addition to waiver responsibilities, the Data Specialist may provide data analysis and reporting support to the National Guard Bureau by extracting, validating, and visualizing readiness and personnel data from systems like Deployment Processing and Readiness Overview (DPRO) and Integrated Knowledge Resources Online for Me (IKROme) to deliver actionable insights to inform operational planning and leadership decision-making.

Key Responsibilities:
Medical Waiver Processing: 
- Receive, review, and prepare medical waivers and MEPS physical requests using the Medical Actions Tracking System (MATS). 
- Submit processed waivers to the Chief Surgeon at NGB-ARS and track status through final adjudication. 
- Upon return of waivers, execute workflows in the National Guidance Counselor Resource Center System (NGCRC). 
- Notify appropriate personnel of waiver decisions, distribute documents, file packets electronically, and maintain a waiver database and status log. 
Data and Records Management: 
- Maintain, review, and research electronic and hard copy regulatory guidance to ensure compliance with updated standards. 
- Manage and organize case files, correspondence, and supporting documentation. 
- Ensure data integrity and security across all electronic filing and tracking systems. 
Personnel Research and Support: 
- Research current and former military members using systems such as Reenlistment Eligibility Data Display (REDD), Reserve Database Management System (RDMS), and interactive Personnel Management System (iPERMS) 
- Accurately verify and update personnel eligibility and history records as needed. 
Information Request Handling: 
- Receive, review, and respond to requests for information in a timely and accurate manner. 
- Coordinate with internal departments and external agencies to fulfill data requests and ensure complete documentation. 
Data Visualization and Analysis: 
- Analyze National Guard Bureau (NGB) readiness and personnel data to support operational planning, workforce optimization, and leadership decision-making. 
- Develop and maintain dashboards, visualizations, and executive-level summaries to translate complex data into actionable insights for both military and civilian stakeholders. 
- Perform data validation and quality assurance to ensure accuracy and reliability of readiness metrics, training pipeline data, and personnel reports. 
- Collaborate with NGB leadership iteratively to define KPIs, streamline reporting processes, and improve data accessibility and usability across departments. 
- Conduct ad hoc data mining and extraction from NGB systems such as DPRO, IKROme, and other readiness platforms to support time-sensitive leadership requests and strategic initiatives. 

Working Conditions and Location

    • Candidate must be available to report in person to Beightler Armory, 2825 W Dublin Granville Rd, Columbus, Oh 43235, 5 days a week (Monday – Friday) 8:00 am – 5:00 pm EST
    • Standard office environment with occasional remote coordination. 
    • Hybrid coordination with remote teammates; some travel for training/meetings may be required.
    • May require handling of sensitive information. 
    • Some travel may be required for training or coordination meetings. 
    • Fast-paced, goal-driven environment handling sensitive data.

Required Qualifications

    • U.S. citizenship and ability to handle sensitive information
    • Proficiency with Microsoft Office (Word, Excel, PowerPoint)
    • Strong attention to detail and commitment to data privacy/compliance
    • Ability to follow established SOPs and meet tight deadlines 

Preferred Qualifications

    • Prior National Guard experience (current or former)
    • 2+ years in data management, records processing, or similar role
    • Ability to work with hybrid teams of contractors and government personnel
    • Bachelor’s degree in STEM (Data Science, Business Analytics, Mathematics, or related field)
    • Experience with MATS, NGCRC, DPRO, IKROme, REDD, RDMS, or iPERMS
    • Familiarity with data-visualization tools (Excel Power Query/Power Pivot, Power BI, Tableau)
