About The Role:
We’re seeking a detail orientated and experienced payroll specialist who thrives on accuracy, compliance, and efficiency. This role ensures our employees are paid correctly and on time, while also driving improvements to payroll systems and processes. This critical role reports directly to the Vice President of Human Resources (VP of HR) and will work closely with the Finance Department to ensure accurate, timely, and compliant compensation for all employees. The ideal candidate will have a strong understanding of payroll best practices, federal and state regulations, and excellent analytical skills. This part time role has the potential for growth into a full time internal role over time and in accordance with business needs.
Duties and Responsibilities
- Including but not limited to:
- Serve as the subject matter expert for the Payroll/HRIS system (e.g., ADP, Paylocity, SAP, Workday).
- Identify, recommend, and implement improvements to payroll processes for greater efficiency and accuracy.
- Develop and document standard operating procedures for the payroll function.
- Process payroll for 150+ employees (exempt & non-exempt) across multiple states, ensuring accuracy and timeliness.
- Review and ensure the accuracy of timekeeping data, new hire information, pay rate changes, terminations, bonuses, and severance payments.
- Administer and process all deductions, including benefits premiums, 401(k) contributions, garnishments, and tax levies, ensuring strict compliance.
- Prepare and process off-cycle payrolls as needed for items such as corrections or special payments.
- Coordinate with the Finance department on payroll funding, general ledger reconciliation, and month-end closing procedures related to payroll.
- Ensure full compliance with all federal, state, and local tax regulations and labor laws related to payroll.
- Manage the preparation and submission of all required quarterly and annual payroll tax reports, including W-2s.
- Support year-end processes, including audits and benefit reconciliations.
- Respond to and resolve internal and external payroll inquiries, including audits and government agency requests.
- Maintain accurate and organized payroll records, documents, and system configurations.
- Stay current on changes in payroll laws and regulations to ensure company compliance.
- Develop and deliver payroll-related training or guidance for managers and employees as needed.
- Provide outstanding customer service to employees regarding paychecks, deductions, and general payroll inquiries.
- Partner with the HR team to ensure seamless data flow from HR functions (onboarding, benefits, time-off) to payroll.
- Assist the Finance team with budgeting, forecasting, and ad-hoc reports requiring payroll data.

Qualifications
- 4+ years of experience processing multi-state, bi-weekly payroll in a fast-paced environment.
- Experience managing payroll in both exempt and non-exempt populations, as well as California.
- Ability to work cross-functionally with HR, Finance, and Legal.
- Proven expertise with a major payroll and HRIS system.
- Deep understanding of multi-state federal, state, and local payroll tax regulations, wage and hour laws, and generally accepted accounting principles (GAAP) related to payroll.
- Highly proficient in Microsoft Excel (e.g., VLOOKUP, Pivot Tables) for data analysis and reporting.
- Exceptional attention to detail and a commitment to accuracy.
- Highly proficient in Google Suite of products (i.e-Docs, Sheets)
- Ability to handle sensitive and confidential information with the utmost discretion.
- Certified Payroll Professional (CPP) certification is highly desirable.
- Experience with ADP Workforce Now is a significant plus.
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Experience with integrations between payroll and timekeeping/benefits systems.
