InvestorFlow is seeking an experienced and highly organized Executive Assistant and Office Manager to oversee the day-to-day operations of our office in New York City and act as an Executive Assistant to our New York based CTO. The ideal candidate will be a proactive and detail-oriented professional with excellent communication and leadership skills.

You Will:

    • Manage employee, guest, client, and vendor access to the building
    • Track and manage shared resources (conference rooms, av equipment, etc.)
    • Ensure a clean, safe, and organized working environment.
    • Manage event planning and coordination
    • Liaise with building management for maintenance and repairs.
    • Create and manage task lists (vendor and partner follow ups)
    • Book travel and accommodations
    • Schedule and coordinate meetings, appointments, and events for the CTO. 
    • Act as a liaison between the CTO and internal/external stakeholders. 
    • Arrange travel plans, accommodations, and itineraries for the CTO. 
    • Prepare travel expense reports and ensure timely reimbursement. 
    • Manage and organize confidential information with discretion. 
    • Collaborate with other team members to ensure project timelines are met. 

You Have:

    • 3-5+ years of experience as an Executive Assistant or Office Manager.
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficient in Microsoft Office Suite.
    • Effective, organizational, problem solving communication and interpersonal skills.
    • A team-oriented philosophy and a commitment to supporting others.
    • Impeccable attention to details.
    • Ability to deliver results with minimal supervision.
    • Ability to work regularly in our midtown NYC office.
$60,000 - $100,000 a year
This salary range is based on the national average and will be commensurate with factors such as experience and alignment.
