InvestorFlow is the only company of its kind to deliver industry specialized CRM, built on Salesforce, and digital portals to help alternative asset firms find opportunities, create and manage relationships, and turn relationship insights into action with increased productivity and transparency.
The administrative assistant will provide day-to-day support to the HR team, Director of Operations, and accounting team. This role ensures the smooth running of office operations, facility maintenance coordination, vendor communication, and support during in-person candidate interviews and internal events. The ideal candidate is people-oriented, proactive, organized, resourceful, and adaptable with a keen attention to detail.
You Will
- Manage front desk duties: greet visitors, handle calls, and respond to general inquiries.
- Control office access.
- Oversee janitorial staff to ensure cleanliness and order.
- Manage the purchase of office supplies and kitchen supplies.
- Liaise with office vendors, building management, and service providers. Coordinate with maintenance vendors (electricians, plumbers, technicians, etc.) to resolve building-related issues.
- Assist the Director of Operations with corporate documentation and errands.
- Support the Accounting team with purchases, petty cash tracking, and general admin tasks.
- Maintain organized, clean, and tech-ready common areas, meeting rooms, and workstations.
- Provide support to the HR team by performing the following tasks:
- Organizing and maintaining employee files and documentation.
- Assisting with in-person interviews and greeting candidates.
- Supporting planning and logistics for company activities and events.
- Assist with onboarding logistics for new hires (workstations, badges).
- Handle other administrative tasks as needed by the HR Generalist or Director of Operations.
You Have
- Final-year student or graduate in Business Administration, Psychology, or related fields.
- Intermediate level of English (able to understand and communicate in basic work situations).
- Proficient in Excel, Word, and Canva (required).
- Strong interpersonal skills with a passion for helping others.
- Highly proactive, creative, and detail-oriented.
- Strong organizational and time management skills.
- Flexible and able to adapt to changing priorities.
- Having a transportation is needed, as some tasks may involve commuting.
