This role will function like a WE manager and be the backbone of the company, creating in office culture and playing a key role in the whole employee experience.
Responsibilities
- Manage Charlestown/Cambridge based facilities, executing buildout designs, handling hotel desk system and logistics, local asset management, arranging cleaning, ordering supplies, and other efficiency logistics as needed
- Check mail regularly at the MIT Engine, be on-site contact for general questions and facility access as needed (flexible to shift between Charlestown/Cambridge offices)
- Recruitment coordination - support Talent Acquisition team by acting as the primary point of contact for all candidate correspondence related to interview scheduling & logistics, both on-site, remote and international; facilitate candidate presentations, set-up technical video interviews (via Google meet), and help field candidate questions accordingly
- Create a seamless candidate and new hire experience by overseeing recruitment coordination, background checks, pre-hire communications, swag shipments and inventory, and on-boarding planning
- Culture + Events - plan and coordinate team building events, culture events, support People team in culture initiatives + calendars
- Assist in hardware purchasing and inventories
- Act as company’s internal travel agent and coordinate short and long term travel arrangements for executives and employees for client pilot launches
- Manage company-wide birthdays + other internal celebrations
Qualifications
- Self-starter with the ability to work independently/take ownership over work
- Prior experience working in a TA coordinator function
- Ability to present oneself professionally and interact with all levels in the company
- Facilities management experience a plus
- High level of detail and ability to manage and execute multiple projects
- Experience working with Lever Applicant Tracking System (ATS)
