The Receptionist will handle various office tasks to ensure the efficient running of the workplace. This position requires strong organizational, communication, and multitasking skills to support office operations and assist employees with administrative needs.
RESPONSIBILITIES
- Greet and assist visitors and employees in a professional and friendly manner from the front desk Monday through Friday (9am to 6pm PT)
- Manage front desk operations and security, including signing in visitors and ensuring they are attended to promptly
- Take ownership and responsibility for the entire office environment (be passionate about the office being a welcoming and awesome environment)
- Maintain Front Desk Procedures Manual
- Handle incoming phone calls and emails, directing them to appropriate departments or individual
- Receive, log, and distribute incoming packages/mail, which may entail scanning and emailing copies to recipients; packaging, labeling, and scheduling pick up for outgoing packages/mail
- Facilitate collab day events including meals (e.g. select meal vendor, distribute menus, collect orders, submit orders on time, receive and sort meals, notify staff, clean up before and after meals)
- Support all on-site meetings and events
- Manage office supplies inventory, order new supplies, and maintain relationships with vendors; maintain shared spaces making sure they are stocked, clean, and functional
- Be the local expert concierge for transportation, meals, and lodging information
- Maintain building access management including fob distributions and alarm codes for emergency needs
- Act as a point of contact for building management and maintenance
- Support facility emergencies including power, security, and HVAC needs to appropriate contacts along the Workplace Director
- Maintain first aid and safety needs including AED machines, First Aid Supplies, and local health compliance needs (complete annual First Aid and CPR training)
- Assist with onboarding new employees to HQ, including setting up work areas and providing necessary office supplies
- Maintain office equipment and ensure that all machines (printers, fax, etc.) are working properly
- Support the planning and organizing of company events, meetings, and other gathering
- Provide support and assistance as requested
QUALIFICATIONS
- Positive and effective communicator (oral and written)
- Strong organizational and time-management skills
- Willing to master Google Workspace apps
- Ability to work independently and manage multiple tasks
- Attention to detail and problem-solving skills
- Professional demeanor and ability to maintain confidentiality
- Basic knowledge of office equipment and software tools
- On-site with standard working hours (Monday-Friday)May involve occasional evening or weekend work for special events or projects
- Must be able to lift and carry or otherwise move 25 pounds regularly, including up and down stairs
In compliance with local law, we are disclosing the compensation for this role. The range listed is just one component of Jam City's total compensation package for employees, which may also include annual bonuses, short- and long-term incentives, and program-specific awards. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. Starting pay for the successful applicant will depend on a variety of job-related factors, which may include education, training, experience, certifications, location, business needs, or market demands. This range is based on a full-time position. This range may be modified in the future. In addition, Jam City provides a variety of benefits to employees, including but not limited to medical, dental, vision, parental leave, paid time off, a 401(k) plan, life, disability, and accident insurance. Pay Range: $21.73 -- $25.00/hr
