Mission Statement:

We are seeking a highly skilled and experienced Global Payroll Manager to join our Accounting Department, reporting directly to the Chief Accounting Officer. This pivotal role will be responsible for efficiently managing and processing all payrolls for our company across multiple countries and utilizing various payroll methods. The ideal candidate should possess an understanding of global payroll regulations and employment-related matters as well as 401k program management expertise. The Global Payroll Manger will collaborate closely with HR and play a crucial role in ensuring accurate and timely payroll operations while maintaining compliance with relevant laws and regulations.

Duties and Responsibilities:

    • Global Payroll Management: Manage and supervise the entire payroll process, including preparation, processing and reconciliation of the Company’s global/multi-state payroll, ensuring payroll is accurately and timely calculated, processed, and disbursed for all employees across multiple countries and payroll methods. This includes the below systems as well as other applicable such as processing timely wires through XE, overseeing the pension contributions for Royal London and Canada Life, our USA 401(k) retirement program via ADP Retirement Services, among others listed below.

    • Current payroll management systems and countries paid via each method are as follows:
    •  ADP Workforce Now (United States of America)
    •  ADP Celergo (Austria, Canada, France, Germany, Philippines, Spain, United Arab Emirates, United Kingdom)
    •  GoGlobal, PEO (Australia, Brazil, China, Greece, Hong Kong, Japan, South Africa, Thailand, Malaysia)
    •  Liaise with Accounts Payable for independent contractors’ payroll (Austria, Australia, Brazil, Canada, Mexico, Turkey, United States of America, South Africa).
    •  Bitsoft, PEO (India)
    • Invoice Approval and Payroll Reporting: Approve invoices for AP paid employees, provide monthly payroll reports to Karen Leung, and generate and distribute post-payroll reports to stakeholders.
    • Payroll Databases and Employee Communication: Maintain payroll databases for all global employees in an organized fashion that provides reliable and strong documentation of all payroll activity. Ensure any changes or discrepancies are communicated appropriately to affected employees.
    • Recurring Payroll Tasks: On a monthly basis prepare FP&A requested reports, handle KY DOL monthly reporting, and manage time and attendance for the Warehouse team. On an annual basis, collaborate with the Human Resources team to ensure that all merit and bonuses are input and paid timely and accurately during the annual review cycle.
    • XE and GoGlobal Invoice Management: Reconcile, code, and manage Go Global invoices in collaboration with finance. Ensure that all wires are submitted via XE accurately and in a timely manner for international payroll processing.
    • Philippines Payroll: Mentor and serve as backup to the local payroll team, promoting a positive and collaborative work environment.
    • Compliance and Regulatory Adherence: Stay up-to-date with local and international payroll and tax laws, labor regulations, and statutory requirements in all countries of operation. Ensure that the payroll is compliant with respective laws and regulations and update payroll policies, procedures and guidelines. For USA payroll, handle notices from tax agencies using ADP Smart Compliance and set up payroll compliance in new countries.
    • Payroll Processing and Reconciliation: Ensure the accurate collection of payroll data, validate and process payroll information, including but not limited to regular wages and wage changes, overtime, bonuses, commissions, deductions, retirement election changes, special payments, and taxes. Perform payroll reconciliations and audits to ensure accuracy and address discrepancies promptly. 
    • Oversee the year-end payroll processes, including the issuance of W-2 forms and tax filings.
    • Payroll System Management: Oversee and optimize the payroll management system, ensuring that it is up-to-date, efficient, and aligned with the company's needs.
    • Data Security and Confidentiality: Implement robust data security measures to protect sensitive payroll information and maintain the highest level of confidentiality in handling payroll data.
    • 401K Program Management: Spearhead the company retirement program, ensuring strong collaboration with the Financial and Human Resources teams. Manage the 401K True-Up Process and improve on its efficiencies. Act as the main point of contact with ADP Retirement Services. Manage loan repayments, monitor for discrepancies.
    • Reporting and Analytics: Generate accurate and timely payroll reports for management and other stakeholders as required. Analyze payroll data to identify trends, potential issues, and areas for improvement.
    • Vendor Management: Liaise with external payroll service providers, such as our international PEO of choice, GoGlobal, ensuring the quality of service, cost-effectiveness, and adherence to service level agreements.
    • Coordinate with external auditors and tax agencies as needed to support audits and inquiries.
    • Subject Matter Expert: Act as the main point of contact for responses to all employee inquiries for guidance on pay statements or payroll-related questions, both internationally and domestically.
    • Process Improvement: Continuously review and enhance the payroll process to improve efficiency, accuracy, and overall effectiveness. Propose and implement process improvements and automation initiatives.
    • Participate in special projects and other duties as necessary or assigned. 

Desired Credentials:

    • Bachelor's degree in Accounting, Finance, Human Resources, Business Administration or a related field.
    • 5-7 years of payroll experience, with at least 3 years in a supervisory or managerial role.
    • Experience in payroll management and managing and executing on payroll changes.
    • Experience with ADP Workforce Now or ADP Celergo is a strong plus.
    • In-depth knowledge of payroll regulations, tax laws, and employment-related matters.
    • In-depth knowledge of retirement program management. Experience with ADP Retirement Services is a plus.
    • Familiarity with payroll software and systems and Microsoft Office Suite, including Excel, with the ability to implement and optimize payroll systems.
    • Strong analytical skills, attention to detail, and ability to work with complex data sets.
    • Excellent communication skills, with the ability to collaborate effectively with cross-functional teams and to effectively communicate complex payroll matters to employees and management.
    • Demonstrated ability to maintain confidentiality and handle sensitive information with utmost professionalism.
    • Strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
    • Problem-solving attitude with the ability to adapt to changing requirements and work under pressure.
