The Opportunity

We are seeking a highly organized, proactive, and resourceful Executive Assistant / Personal Assistant to provide comprehensive support to our CEO. This role requires a forward-thinking individual who excels in managing both business and personal tasks, enabling the CEO to focus on strategic initiatives. The ideal candidate is an effective communicator, detail-oriented, and capable of handling confidential information with discretion.

How you'll make a difference day to day

    • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Serve as the primary point of contact for internal and external communications on behalf of the CEO.
    • Coordinate complex travel itineraries, both domestic and international.
    • Assist with personal email management and drafting responses for the CEO when necessary.
    • Conduct research, prepare briefings, and compile data as needed for business and personal decision-making.
    • Handle confidential business and financial information with a high level of discretion.
    • Excellent project management and strong track record of execution.
    • Manage personal appointments, events, and travel arrangements for the CEO and their family.
    • Assist with personal errands, tasks, and projects as needed.
    • Oversee household management tasks, including communication with vendors, contractors, and service providers.
    • Handle personal finance tasks, such as expense tracking, budgeting, and bill payments when required.
    • This position will require onsite presence 5 days a week in our Coral Gables, FL office

We’d love to hear from you if you have

    • Bachelor’s degree or equivalent experience preferred.
    • 4+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.
    • Experience working in a fast-paced, technology-driven environment.
    • Strong proficiency in Google WorkspaceExcellent written and verbal communication skills.
    • Outstanding organizational skills, attention to detail, and time management abilities.
    • Ability to prioritize and manage multiple tasks simultaneously.
    • Proven ability to handle sensitive information with discretion.
    • Experience managing complex schedules and travel logistics.
