The Administrative Specialist is vital to the success of programs and meetings held at CEED, ensuring that all logistical needs of the presenter/committee chair are met. CEED is equipped to maximize learning opportunities for early education professionals. The Administrative Specialist is responsible for setup, running, and take down of audio/visual (A/V) equipment used throughout the building.  In addition, he/she will create the print material required for meeting attendees such as maps and parking passes and all sign-in sheets and handouts for courses and workshops offered through CEED.  This individual will also provide technical assistance and support for all CEED-sponsored services (meetings/events/webinars/workshops) offered in either the Demonstration classroom or the training room. While the majority of events are held on weekdays, many are also held on evenings and/or Saturdays. It is important that this individual be familiar with the building, its equipment, policies, programs, and services and the day-to-day schedule of events and ensures they are consistently implemented.  

Audio / Visual Equipment includes (but not limited to) the following:
• Polycom communications systems
• Video TeleConference systems and equipment
• LCD projectors (portable and permanent mounted)
• Presentations run on Apple OS or Windows operating systems
• Macbooks and iPad Mini’s
• Built-in A/V system

In addition, this individual will provide general support to managers as required.

Responsibilities

    • Serve as point person for all logistics related to Erikson Institute face-to-face sessions and Saturday webinars
    • to include issuing participant reminders, sign-in sheets, handouts etc. as directed by Erikson Institute instructors.
    • Set up/remove furniture and change room arrangements in accordance with the schedule of events for CEED and based on the need of the presenter or meeting convener.
    • Maintain CEED event calendar and ensure it is kept up-to-date on the shared calendar
    • Handle logistics for all early childhood community groups including arranging for parking, making copies, ordering supplies, etc.
    • Set up/remove tables and chairs for all internal meetings and events held at CEED.
    • Ensure setup and put away of A/V equipment is completed for all events.
    • Ensure all closets are kept in order and all items are properly stored and locked each day.
    • Setup A/V equipment for meetings and various functions in the building.
    • Troubleshooting A/V equipment when there are technical questions or problems related to A/V equipment and identifying appropriate solutions.
    • Serve as A/V support for all school-related meetings and events (both on-site and off-site).
    • Provide basic instruction on the operation of A/V equipment to presenters and conveners as necessary.
    • Clean and maintain equipment, report damages to Director of Administration.
    • Conducts weekly testing of A/V equipment to ensure proper operation.
    • Be attentive to the safety, emergency procedures and security of CEED.
    • Takes responsibility for all set up and clean up after meetings; this may include securing and submitting lunch orders for all attendees, picking up lunch orders from restaurant, purchasing additional refreshments for meetings, setting up tables and chairs, wiping down tables after meetings, etc.
    • Takes on special projects and other duties, as assigned.

Candidates must live on island. Relocation is not provided.
