We are seeking an experienced and energetic Executive Assistant who thrives in fast-paced environments, loves solving problems, and finds joy in planning out the details to execute with impeccable perfection. Key Responsibilities:

    • Administrative Support: Complete a broad variety of administrative tasks for the CMO and other executives, including managing an extremely active and fluid calendar of appointments, prioritizing emails and phone calls, completing expense reports, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas, and compiling slide decks for executive meetings.
    • Calendar Management: Own all calendar management and preparedness around all events and meetings, ensuring optimal use of the executives’ time.
    • Company Initiatives: Lead major company-wide initiatives (Town Halls. Weekly Kick Off Meetings, Off Sites, Board Meetings, etc.), in partnership with other support functions
    • Liaison: Liaise across the organization with leadership, employees, and board members to ensure that everyone feels supported while ensuring the executives' time is used in the best possible way.
    • Project Management: Lead or support a variety of projects ranging from small and straightforward to large and complex.
    • Event Coordination: Partner with speaking agents to coordinate speaking engagements and other key partnerships, including contract negotiations, billing, and expense submissions.
    • Event Planning: Help budget, organize, and decorate for special events, including caterers, entertainment, etc.

    • You are a leader who works with leaders, knowing how to manage conversations and project a mature and professional approach with interactions (you represent the leaders you work with impeccably).
    • You are a master multi-tasker, with an ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes; resourceful and detail-oriented.
    • You realize that working with busy executives sometimes means working outside of regular office hours. You will get things done to ensure that issues don’t arise.
    • You can come up with creative solutions to ensure issues don’t become bigger problems. You anticipate, plan and deliver.
    • You are self-managing and don’t require hand-holding or excessive direction. Ambiguity does not give you anxiety.

Qualifications:

    • 5+ years of experience supporting one or more executives in a high-growth organization.
    • Exceptional Google G-Suite, Excel/Sheets, and PowerPoint/Slides skills (you will be creating many slide decks regularly).
    • Strong ability to work and perform independently under tight deadlines without compromising quality.
    • Exceptional written and verbal communication skills.High attention to detail and strong organizational skills.
    • Willingness to travel based on business needs and initiatives (mostly local in Toronto).
    • While we work in a hybrid environment, this role may require you to be in the office more than 2 times per week depending on meetings and events taking place.
    • Must be based in Toronto and able to travel to the office regularly (we are located at Queen and John).
Note:

Please note Knix has a hybrid work environment, with the requirement to be in our Downtown Toronto office 2 days per week, there may be an expectation due to the nature of this role to be in the office 3 - 4 days per week. Building strong relationships and collaborating internally is important to us!
