About the role

We’re looking for a 6 month maternity cover for one of our Executive Assistants at Kraken. This role is key to supporting our executive team and ensuring smooth day-to-day operations. The Executive Assistant will be responsible for providing high-level administrative support, managing calendars, coordinating meetings, assisting with internal and external communications, and helping to organise events, off-sites, and team activities.

What you’ll do:

    • Act as the primary point of contact among executives, employees, clients, and external partners.
    • Manage executives’ calendars, schedule appointments, and coordinate meetings.
    • Arrange travel and accommodation for executives.
    • Assist in organising, hosting, and running both internal and external events for prospective clients.
    • Oversee internal and external communications across multiple platforms, including email, LinkedIn, and Slack.
    • Take meeting minutes and provide concise summaries.
    • Screen and direct phone calls, as well as manage correspondence.
    • Prepare executives for meetings by compiling briefing notes and key information.
    • Organise team social events, booking venues, and scheduling activities.
    • Provide cross-functional support in marketing, onboarding, recruitment, and accounting when needed.
    • Provide administrative support for corporate tickets, summit registrations, and event passes.
    • Coordinate catering and hospitality for client workshops, office visits, and partner meetings.
    • Manage executive and team expense submissions, reconciliations, and tracking.

What you’ll need:

    • Experience working in a fast-paced environment.
    • Strong work ethic with a proactive and solutions-oriented mindset.
    • Exceptional organisational and time management skills.
    • Proficiency with Google Suite (Docs, Sheets, Slides, Calendar, etc.).
    • Previous experience as an EA reporting to a C-suite executive in a high-growth company
    • Or experience in the F&B/hospitality industry (or a similarly dynamic setting).
    • Excellent communication and interpersonal skills.Ability to multitask and prioritise tasks effectively.
    • Comfortable working across multiple time zones and familiar with scheduling international meetings
