Job Summary:
Our law firm is seeking an experienced E-Billing Specialist to join our finance team. This position is responsible for the full cycle of electronic billing (e-billing), including preparation, submission, tracking, and resolution of client invoices through various third-party systems. The ideal candidate will have prior experience using legal billing platforms such as Aderant or 3E, and a solid understanding of client billing guidelines and law firm billing processes.
Key Responsibilities:
Prepare, review, and submit electronic invoices through e-billing systems (e.g., CounselLink, Serengeti, Tymetrix, Legal Tracker, etc.)
Ensure accuracy and compliance with client billing guidelines and firm standards.
Follow up on invoice status and address rejections, reductions, and client inquiries in a timely manner.
Collaborate with attorneys, legal secretaries, and billing coordinators to resolve billing discrepancies.
Maintain up-to-date client billing profiles and e-billing requirements in the system.
Work closely with Accounts Receivable to ensure proper posting and reconciliation of payments.
Generate and analyze billing reports to track trends, compliance, and efficiency.
Support month-end and year-end billing close processes.
Assist in the implementation and optimization of e-billing systems and processes.
Provide training and support to internal teams regarding e-billing procedures.
Qualifications:
3+ years of experience in a legal billing or e-billing specialist role, preferably in a law firm environment.
Experience with Aderant, Thomson Reuters 3E, or similar legal billing platforms is highly preferred.
Familiarity with client billing portals and vendor compliance systems.
Strong understanding of legal billing processes, including timekeeping, billing codes, and write-offs.
Excellent attention to detail and organizational skills.
Strong written and verbal communication skills.
Proficient in Microsoft Excel and other Office Suite applications.
Ability to work independently and manage multiple deadlines in a fast-paced environment.
Preferred Qualifications:
Experience working with large law firm clients and corporate billing guidelines.
Familiarity with LEDES formats and UTBMS codes.
Prior experience with accounts receivable or collections is a plus.
