Position Overview
We are seeking a Founder's Technical Associate who can support both administrative and technical operations. This role is ideal for someone who thrives on experimentation, building backend connections, and driving business impact through automation. The successful candidate will own our automation and product-ops stack end-to-end, evaluating and implementing the right CRM/marketing-automation platforms and supporting workflows across multiple startup projects. This role is less about traditional admin tasks like managing calendars and emails, and more about rolling up your sleeves to automate, optimize, and scale operations.
Key Responsibilities
- Own the automation and product-ops stack end-to-end: evaluate, implement, and maintain CRM/marketing-automation platforms such as HubSpot, GoHighLevel, ActiveCampaign, Pipedrive, or custom solutions using N8N, Make, Zapier. Ensure platform choice is justified by cost, speed to value, and long-term stability.
- Manage records and handle low-level admin tasks where necessary.
- Build, maintain, and troubleshoot workflow automations and integrations using APIs, webhooks, OAuth, and basic scripting.
- Write simple scripts or glue code in Python, JavaScript, or other languages to connect systems and streamline operations.
- Leverage AI tools (e.g., ChatGPT) to improve productivity and optimize workflows.
- Occasionally assist in scheduling or meeting coordination.
- Monitor and analyze system performance, ensuring logging, error handling, and analytics are in place.
- Take ownership of platform selection within budget and guardrails.
- Proactively identify opportunities for automation and scaling business processes.
Qualifications (Must-Haves)
- Strong English communication skills (written and verbal).
- Hands-on experience shipping at least one real-world CRM or automation stack implementation.
- Comfortable with APIs, webhooks, OAuth, basic SQL, Git, and monitoring/logging.
- Knowledgeable in automation tools (Zapier, N8N, Make.com, etc.) with experience building or maintaining workflows.
- Basic programming or scripting capability; willing to experiment and solve problems independently.
- Detail-oriented, organized, and proactive problem-solver with a “get-stuck-in” attitude.
Nice-to-Haves
- Experience with GoHighLevel, HubSpot, Pipedrive, ActiveCampaign, Airtable, Notion, Stripe, GA4.
- Programming experience in Python/JavaScript for automation/glue code.
- Prior experience supporting startup founders or fast-paced environments.
Educational Background
- Degree in Computer Science or closely related disciplines is a plus, but practical coding and implementation experience is more important than formal qualifications.
Decision Rights
- Full ownership of platform selection and workflow implementation within budget and operational guardrails.
Success Metrics (First 90 Days)
- 14 days: Onboard, take over existing manual processes, and identify opportunities for automation.
- 30 days: Existing processes largely automated; blueprint for launching new systems established.
- 60 days: Capable of managing automations and systems at scale across multiple use cases; actively pursuing full automation; using analytics and performance outcomes to refine, improve, and scale processes.
