Position Overview & Purpose
The Project Coordinator plays a vital role in coordinating projects and financial reconciliations related to Capital Expenditures (CAPEX) and Technical Finance. This position ensures the accuracy of financial processes, database management, and compliance with organizational standards to facilitate seamless project execution and reporting.   
Essential Duties & Responsibilities
1. Capital Acquisition Project Database:
- Create Project List Database and enter all Project information into NetSuite system.
- Analyze any new Project requests and create projects in NetSuite
- Maintain, manage, publish and communicate the Project List database within the organization
- Maintain proper Project Statuses for all created Projects – working with - - Operations to ensure timely closing of projects, noting delays and explaining variances to budgeted costs
2. CAPEX Invoice Management:
- Investigate and track invoices for CAPEX jobs, performing Trend Analysis and work with various contractors and vendors to ensure accurate forecasts of upcoming spend
- Ensure timely payments of CAPEX invoices and proper processing in the Tipalti system
- Monitor all submitted Purchase Orders for capital projects, ensuring accurate coding
- Request capital Purchase Orders when appropriate
- Work with the Operations teams to ensure accurate Receipt on all existing POs in a timely fashion
3. Financial Reporting & Analysis:
- Analyze Project Accounting reports weekly for accuracy & completeness
- Investigate and resolve variances in project expenditures
- Assist with month-end close analysis & reporting
4. Sales Order (BOM):
- Analyze submitted Sales Orders for capital projects for all contractors and internal users
5. Construction in Progress (CIP) Reconciliation:
- Reconcile CIP accounts with the General Ledger monthly, resolving discrepancies.
6. Inventory Oversight:
- Investigate inventory issues and coordinate material adjustments with construction coordinators and contractors.
- Oversee Cycle Count Process and periodic physical counts of all Inventory locations          
7. Re-Class of Transactions:
- Re-class CAPEX related charges to appropriate projects and/or opex accounts and ensure proper capitalization eligibility
- Allocate tax and freight expenses to proper project when appropriate
8. Additional Responsibilities:
- Support open job status reviews, analyze spending, and facilitate timely project closures
- Perform other duties as assigned.
Knowledge, Skills & Abilities
- Advanced computer skills, including Microsoft Office Suite (Excel, Word).
- Strong attention to detail, organizational skills, and ability to analyze complex data.
- Effective problem-solving abilities and collaborative mindset.
Basic Qualifications & Competencies
·         High school diploma or equivalent; a two-year degree or equivalent relevant work experience is required.
·         Proven ability to generate detailed financial reports and conduct advanced analysis.
·         Minimum of 3 years of experience in project coordination or related financial roles.
·         Must be able to provide proof of eligibility to work in the U.S.
Preferred Qualifications & Competencies
·         Experience in telecommunications or related industries.
·         Familiarity with CAPEX financial systems and reconciliation processes.
·         Strong analytical mindset and ability to streamline workflows.
