We are looking for a detail-oriented, highly organized individual to join our team as an Inventory and Shipping Coordinator. This coordinator will be responsible foraccurate inventory management and efficient shipping/receiving operations for Production, Product Development, Culinary, and QA teams. This role involves maintaining organized storage, overseeing incoming and outgoing shipments, and ensuring proper inventory protocols. This role requires strong organizational skills, attention to detail and the ability to work collaboratively with cross-functional teams.
The Inventory and Shipping Coordinator will report to the Executive Chef, Culinary Director and Senior Producer and support our Control Brands, Marketing and Agency teams.
Please note that this position requires the successful candidate to come into the office physically 5 days a week, AND have a reliable means of transportation.
What You'll Do - Sample Management / Shipping and Receiving
- Receive and verify incoming shipments; store food products at appropriate temperatures.
- Label and organize items efficiently in designated areas.
- Prepare shipments, including packaging and adherence to dry ice protocols.
- Coordinate shipments with mail services internally and externally.
- Coordinate with colleagues to handle large shipments or special packaging needs.
- Coordinate with internal teams and external vendors to ensure alignment on sample quantities and manage the timely delivery of samples for marketing and brand initiatives.
- Proactively escalate any delays or deadline risks within the organization to mitigate project risk
- Coordinate with internal team and external vendors to enable the production of 3D packaging mockups and product photography as required
- Prepare and package samples for shipment to marketing and brand projects and manage the samples throughout the cycle of the project.
- Work with product team, studio team and external vendors to create and photograph packaging for e-com and other marketing purposes.
- Coordinate with various departments to distribute samples for a variety of purposes including testing, quality control, and marketing.
What You'll Do - Inventory Management
- Maintain accurate records of all inventory, updating Excel files daily.
- Work with product teams to ensure timely delivery and accuracy of products received
- Conduct regular audits and apply FIFO (First In, First Out) standards.
- Restock supplies and ensure storage areas are clean, organized, and health-code compliant.
- Tracking, developing and maintaining processes for ensuring accurate inventory management
What You'll Do - Communication & Reporting
- Report issues (e.g., damaged/spoiled products, unorganized shelves) promptly.
- Send daily email updates with receiving and inventory status.
- Liaise with teams to meet shipping and receiving timelines.
- Monitor sample inventory levels and communicate with product teams to request additional samples as needed.
- Collaborate with cross-functional teams to address any sample-related issues or concerns.
What You'll Do - General Operations
- Safely handle large or heavy boxes using proper techniques or equipment.
- Support restocking and assist in maintaining cleanliness and organization.
- Proactively monitor inventory to remove overflow, properly donating usable items to ensure a clean, efficient, and sustainable environment.
- Perform other duties as assigned.
Preferred Qualifications & Experience
- Post-secondary degree or certificate
- Experience in food or product storage management, or a related field, preferably within the food industry, is an asset.
- Knowledge of food safety regulations and quality control processes
