We are looking for a Administrative Assistant professional for an established sales team in the Milwaukee office of Marcus & Millichap, the largest real estate investment brokerage firm in the US. 

We are seeking a bright individual interested in advancing their career by joining a successful and growing commercial real estate brokerage team. 

Potential candidates should have a professional demeanor, strong written, verbal, and mathematical skills as well as good phone manner. Attention to detail and ability to multi-task is essential. Candidate should be comfortable working in a busy, corporate sales environment.  

Responsibilities:

    • Create, manage, and distribute digital and print marketing including email campaigns via Constant Contact, social posts, postcards, flyers, miscellaneous marketing pieces, client information packages, etc.
    • Create and manage follow-up lists to ensure all deliverables are completed in a timely fashion.
    • Monitor the progress of each campaign and transaction to deadlines.
    • Manage team’s sales pipeline utilizing Excel and other tools.
    • Maintain and grow database, verify information and capture email addresses for future campaigns.
    • Communicate with agent to collect necessary due diligence materials for financial analysis and marketing use.
    • Clerical/Administrative assistance with preparing and submitting paperwork.
    • Draft legal documents from provided templates and handle sensitive material while maintaining high level of confidentiality.
    • Quality control and document management: verify all info is accurate, complete, saved and shared appropriately.
    • Research and gather rent and sale comparables for use in marketing packages.
    • Review financial statements and operating information.
    • Translate information from financial statements into a financial model for use in marketing materials.
    • Other admin duties i.e. managing calendars, assisting with annual apartment summit events (usually around 2/year), data input, calling different apartment complexes for rent comps
    • Have or willing to obtain real estate license

Qualifications:

    • Commercial Real Estate Experience a Plus
    • 2 Years of Administrative Experience
    • Proficiency in Microsoft Office, i.e., Excel, Word, Outlook Required
    • Ability to Effectively Work and Interact with Clients and Meeting Deadlines
    • Basic Project Management, Editing, and Writing Skills
    • Excellent Organization and Problem-Solving Skills
