Sales Office Assistant- Part Time

A top senior broker at Marcus & Millichap in the firm’s prestigious Brooklyn office would like to bring aboard a Part – Time Agent Assistant who is a motivated candidate to assist them with aspects of the commercial real estate brokerage business. This is a unique opportunity to join an award-winning senior investment sales team with one of the nation’s largest commercial real estate investment brokerages specializing in transaction services.

Administrative Responsibilities

    • Maintain listing and transaction files
    • Data entry of all listing activities including new activations, reactivations, removals, under contract and closed,
    • Document copying, scanning and binding
    • Data entry and proofreading
    • Continually prioritize and re-prioritize Agent work requests and follow up with staff members and Agent to ensure timely completion and delivery
    • Ensure timely data entry of all new activity on listings
    • Obtain required approvals/initials on documents
    • Assist with special assignments, i.e., presentations, spreadsheets, reports, etc.
    • Work with agent to create and maintain a clean and organized office
    • Strong knowledge of office functions (including, but not limited to):
    • Superior phone etiquette and customer service to visitors
    • Send and receive information via company email in Outlook

Required Knowledge and/or Experience

    • Strong knowledge of MS Office required
    • Excellent interpersonal and communication skills with people of all personality types
    • Ability to maintain strict confidentiality
    • Self-motivated, detail oriented, strong organizational skills
    • Ability to prioritize multiple projects
    • Strong organizational skills, ability to manage multiple priorities and ability to take independent initiative for action within areas of responsibility.
    • Prior administrative experience in a sales group preferred
