Top performing and award-winning Brokerage team seeking an Executive Assistant to support a Senior Managing Director Investments of Marcus & Millichap based in Ottawa. Executive needs a true right hand to handle daily operations allowing him to operate at his peak performance. While this role is in the real estate industry, it is not a requirement to have a deep knowledge of the space since the right candidate can pick up the basics quickly. There will be a blend of business and personal duties and the ideal candidate can switch from one to another effortlessly.

Duties Include

    • Act as a true extension of the Executive in all aspects of his life from personal to business.
    • Understand everything going on in the business and personal life to effectively delegate, streamline, and organize the entire spectrum of obligations.
    • Manage schedule, co-ordinate day to day operations and communications with clients to include setting up meetings and events locally and in other cities.
    • Track expenses and Interface with the executive’s bookkeeper to maintain accurate financials for his business as well as personal.
    • Interface with entire team to ensure they have support needed.

Qualifications

    • Strong organizational skills, and ability to prioritize and delegate tasks seamlessly.
    • Advanced Microsoft Office and general technology competency.
    • Experience working with a high performing senior executive or entrepreneur.
    • A strong pro-active nature, and ability to approach problems with a strong decision-making capability.
    • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
    • Great on the phones and can switch between speaking with the courier to a billionaire client and back to a junior team member effortlessly.
    • Experience with contact management (CRM) systems.
    • Ability to do basic financial analysis considered an asset.
    • Knowledge of social media platforms such as Instagram, LinkedIn, Facebook to maintain a prominent social media presence for the executive.
    • Experience in the commercial real estate sector would be considered an asset but not required.
