Marcus & Millichap, the nation's leading commercial real estate investment company with 80+ offices nationally, is seeking an Administrative Assistant (aka Brokerage Administrator/Marketing Coordinator) for their Chicago Oak Brook office. The BA/MC provides administrative and marketing support to the Management and Agents in the office, reporting directly to the Operations Manager. A candidate must possess exceptional follow-through, be able to work in a fast-paced environment, be highly motivated, and present solid Microsoft Office as well as written/verbal communication skills.

BROKERAGE SUPPORT:

    • Using internal packaging software, enter new listings and revisions into system, create paper listing files and work with Operations Manager to activate or update in a timely manner
    • Provide general support to Agents and Assistants
    • Copying, scanning and binding as requested by Agents or Management
    • Utilize postage machine and other shipping methods
    • Create files when necessary and adhere to the company’s filing system
    • Create and maintain office marketing material and sales aids using InDesign
    • Scan, bind, stock supplies, maintain office cleanliness and perform other duties as assigned by Operations Manager or Regional Manager
    • Answer and route calls using switchboard in a courteous, efficient and professional manner while providing backup support for other offices, as needed

MARKETING:

    • Marketing support, including the coordination of advertising, press releases, and public relations
    • Consult and proactively work with Agents on customized marketing requests
    • Be aware of and skilled on the firm’s research, technology and marketing tools
    • Track record of effectively proofreading documents for spelling, punctuation and grammar
    • Familiarity with Adobe Creative Suite - InDesign, Photoshop & Illustrator

REQUIRED KNOWLEDGE AND/OR EXPERIENCE:

    • Experience in Office 365 Suite (Outlook, Excel, Word, PowerPoint, OneDrive)
    • Familiarity with Adobe Creative Suite - InDesign, Photoshop & Illustrator
    • Experience planning, organizing and executing multiple assignments, tasks and projects
    • Ability to prioritize tasks and work efficiently under pressure
    • Professional appearance, dress and demeanor
    • High School Education or higher required
    • Proven track record of being on time and dependable and attentive to details
