Agent Assistant - Encino

A senior broker at Marcus & Millichap in the firm’s prestigious Encino office would like to bring aboard a motivated candidate to assist him with all aspects of the commercial real estate brokerage business. This is a unique opportunity to join an award winning senior investment sales team with significant opportunity to grow with one of the nation’s largest commercial real estate investment brokerages specializing in transaction services.
- Maintain listing and transaction files
- Data entry of all listing activities including new activations, reactivations, removals, under contract and closed, proposals and marketing packages
- Continually prioritize and re-prioritize Agent work requests and follow up with staff members and Agent to ensure timely completion and delivery
- Obtain required approvals/initials on documents
- Assist Agent with special projects (proposals, marketing packages, mailers, flyers, etc.)
- Assist with special assignments, i.e., presentations, spreadsheets, reports, etc.
- Work with agent to create and maintain a clean and organized office
- Strong knowledge of office functions (including, but not limited to):
- Superior phone etiquette and customer service to visitors
- Data entry and proofreading
- Ensure timely data entry of all new activity on listings
- Document copying, scanning and binding
- Send and receive information via company email in Outlook
Required Knowledge and/or Experience
- Strong knowledge of MS Office required
- Excellent interpersonal and communication skills with people of all personality types
- Ability to maintain strict confidentiality
- Self-motivated, detail oriented, strong organizational skills
- Ability to prioritize multiple projects
- Experience with InDesign program
- Strong organizational skills, ability to manage multiple priorities and ability to take independent initiative for action within areas of responsibility.
- Prior administrative experience in a sales group preferred
