Position Summary:
Under minimal supervision, the Executive Administrative Assistant (EA) provides quality, high touch professional administrative support for the Executive Leadership Team, with primary responsibility to the CEO, Executive Schools Officer, and Deputy Chief of Staff. The EA is responsible for supporting the daily administrative and executive-level operations for the team, including scheduling, managing meeting logistics, drafting and disseminating leadership communications, managing special projects, and other administrative duties, as needed.

Duties and Responsibilities:

    • Executive Leadership Support:
    • Manage the schedules, meeting logistics, and documentation and tracking of meetings, for the CEO, Executive Schools Officer and other Chiefs, as assigned.
    • Board Management:
    • Compile & file board packets/materials/compliance items, schedule board meetings, and manage board-related events.
    • Executive Communications:
    • Draft, review, and send communications in coordination with Deputy Chief of Staff as well as respond to communications as appropriate on behalf of the executive team.
    • Logistics:
    • Manage logistics and coordinating related to events, reports and reviews, including data compiling and monitoring.

Qualifications:

    • Exceptional organization skills – a detail-oriented approach to multi-task, prioritize, and meet deadlines under pressure
    • Strong aptitude for data collection and analysis as well as ability to manage data platforms or portals
    • Ability to be agile and creative, with solid problem-solving skills
    • Excellent communication, public relations, and interpersonal skills both orally and in writing
    • Strong inter-personal skills, customer-service orientation, and cultural awareness
    • Self-starter, with the ability to work well independently, as well as with a team
    • Demonstrated ability to manage complex projects
    • Advanced proficiency in technology, including Microsoft Office 365 Suite: Outlook, Word, Excel, and PowerPoint, and collaborative tools like Teams; the ability to learn new programs/software quickly
    • Perform duties with a high degree of professionalism
    • Ability to support decision-making and planning
    • Maintain confidentiality of privileged and sensitive information with fidelity
    • Bilingual, preferred

Education and Experience:

    • High school diploma required, w/ minimally seven (7) years of Executive Assistant experience; OR
    • Associates degree in Business Administration or related field, w/ five (5) years of EA experience; OR
    • Bachelor’s degree, w/ three (3) years of EA experience

Physical/Environmental:

    • Ability to physically perform the essential duties of the role – either on-site or remotely, as required, and to work in the environmental conditions required, such as: traveling to network campuses; maneuvering in office spaces (including standing, walking, sitting for long periods of time, speaking loudly and clearly, seeing and hearing things both near and far away); stooping, kneeling, reaching file cabinets/shelves; fine finger and hand manipulation in use of computer, chalkboard, dry erase, &/or projectors; filing, faxing, scanning, coping, typing, mailing, and making phone calls; sitting for up to two (2) hours looking at a computer monitor, using a keyboard/mouse, and typing.

Other Requirements:

    • Position requires local travel to Mastery and other sites. Must have access to reliable transportation.
