We’re looking for an Executive Assistant to join our team! Reporting to our Global Chief Marketing Officer, you will provide outstanding daily administrative support and get energized by working in a fast-paced environment. This is a perfect role for someone who takes the initiative, is intuitive, and thinks strategically. This will be a hybrid role and required in-office collaboration twice per week. This position is located in our New York office. 

In addition to managing complex calendars, and schedules, you will work with cross-functional global leaders and provide high caliber administrative support that will help us execute company projects and goals. Your creativity, passion, and organizational skills will be critical in supporting team off-sites, culture, and special events. The team is distributed across various locations in the US and across the globe so we are looking for someone that can help build and lead the culture of our team in a remote working environment. 

Administrative Support

    • Handle daily meeting calendars for the Global CMO
    • Build team presentations, meeting agendas, maintain meeting notes, and optimize meetings for different time zones to support our distributed global team 
    • Ensure responsiveness for timely communication and takes the initiative to keep stakeholders informed 
    • Coordinate domestic and international travel and provide ongoing support as needed 
    • Create and help facilitate onboarding plans for new team members and leaders 
    • Prioritize, multi-task, and handle a continuously evolving environment
    • Ensure a high level of confidentiality and professional integrity 
    • Work independently at a fast pace, with a strong personal dedication to meeting timelines

Project Management

    • Manage projects and communication by providing status updates and ensuring that cross-functional partners are included in meetings and communications
    • Work with department leaders to establish an effective budget allocation to cover team needs, manage team budgets, and coordinate expense management 
    • Build and manage an organized department library of resources and documentation and identify any gaps with stakeholders
    • Collaborates with workplace/facilities for ongoing team space planning & strategy

Team Morale, Events, and Celebrations

    • Partners with cross-functional teams to plan and execute team offsites
    • Identify the team’s learning and training opportunities and partner with our Talent Development team to work on resources or communicate training needs
    • Work closely with the workplace experience and HR teams to oversee birthday, and milestone celebrations 
    • Manage team swag
    • Complete other duties as assigned

What we’re looking for:

    • 5+ years of work experience supporting at the executive level 
    • Experience supporting global teams is a plus
    • Experience with Google Suite (Gmail, Calendar, Docs, etc.) is preferred
    • Demonstrated communication and presentation skills, with an ability to express high-level concepts efficiently and optimally to a wide range of audiences
    • Ability to thrive in a fast-paced environment, think creatively, and produce innovative solutions
    • Positive relationship management skills and the ability to effectively interact with a diverse set of partners
    • Comfort and familiarity in dealing with highly confidential information
    • Strong verbal and written communication skills
    • Ability to adapt to changing priorities 
    • Strong project management skills 
    • Excellent time management skills
The salary range for this position is $67,000 - $80,000.  Factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary range is reflective of a position based in New York City, New York. This salary will be subject to a geographic adjustment (according to a specific city and state), if an authorization is granted to work outside of the location listed in this posting.
