The Executive Office Intern’s role is to support the Senior Executive Assistant to the General Manager in managing the Executive Office. The ideal candidate will assist with various duties such as answering phones, filing, transcribing dictation, and running errands throughout the Opera House.
This is a great opportunity for anyone interested in opera, arts administration, and non-profit entertainment to learn how the Met runs on a day-to-day basis.
This individual must be able to work flexible hours, which includes evenings and both Saturdays and Sundays during the season. This is a part-time paid internship, with a minimum of 25 hours a week in the office at $16/hour.
Primary Responsibilities
- Provide phone coverage for the General Manager and other staff as needed.
- Fax, copy, and prepare documents for distribution, mailing or delivery by messenger.
- Prepare reports as requested by the Senior Executive Assistant and the General Manager.
- Transcribe dictation.
- Provide coverage to the General Manager when Senior Executive Assistant is out of the office.
- Perform other duties as required by the Sr. Executive Assistant.
- Order and maintain general office supplies.
- Retrieve packages from Stage Door or Front of House.
- Expedite customer complaints. Forward or respond as needed.
- Greet and escort visitors from Stage Door or Front of the House. Offer hospitality services to General Manager’s guests as needed.
- Assist Sr. Executive Assistant with tasks and ensure all functions are covered.
Skills and Responsibilities
- Prior Administrative Assistant experience for senior level executives.
- Knowledge of opera and/or experience in a non-profit environment.
- Completion of a Bachelor’s degree; working towards a Master’s degree.
- Possess strong interpersonal, communication, and administrative skills.
- Excellent project management skills and able to prioritize multiple projects.
- Proficient in MS Word, Excel, Outlook, and Internet Explorer.
Physical Demands
- Must have neat and legible handwriting.
- Must be able to work evenings and weekend shifts. Must be flexible to accommodate last-minute changes in schedule.
- Ability to handle multiple tasks simultaneously.
- Ability to type at a moderate speed.
- Ability to take dictation.
- Ability to work occasional after-hour events.
- Excellent organizational skills and attention to detail.
$16 - $16 an hour
