THE OPPORTUNITY:
The Executive Team Associate will provide high-level administrative support to our C-Suite and senior leaders. This role blends traditional executive assistant responsibilities with event coordination, travel management, office administration, and special projects. The ideal candidate is proactive and highly organized, they thrive in a fast-paced, professional environment and can anticipate the needs of the leadership team to ensure smooth day-to-day operations.

    • This individual must be local to Chicago with the ability to work onsite several days per week and adjust their schedule as needed.

WHAT YOU CAN LOOK FORWARD TO:

    • Manage complex calendars for the leadership team, including scheduling internal and external meetings.
    • Arrange domestic travel, including flights, accommodations, ground transportation, and detailed itineraries.
    • Coordinate logistics for conferences, including registrations, travel, accommodations, and materials.
    • Assist in the planning and coordination of internal and external events, including networking happy hours, leadership offsites, and client gatherings.
    • Serve as a professional point of contact for internal and external stakeholders on behalf of the C-Suite.
    • Support the Chief of Staff with meeting, board, and presentation preparation, including materials, logistics, and cross-functional coordination as needed.
    • Prepare and process expense reports, documents, presentations, and meeting materials.
    • Support the Office Manager with duties as needed, including serving as backup during absences or peak time including covering the front desk at the MHN office 
    • Serve as a point of contact for vendors or visitors on an as-needed basis.
    • Perform other general office tasks to ensure smooth daily operations.
    • Flexibly adjust work location and hours to meet business needs, with increased onsite presence during events, meetings, and busy periods.

WHAT YOU’LL NEED TO SUCCEED:

    • 3+ years of executive-level administrative support experience; C-Suite experience preferred. 
    • Experience booking travel and coordinating corporate events or conferences. 
    • Proven ability to manage multiple priorities and deadlines in a dynamic environment. 
    • Exceptional organizational and time management skills with strong attention to detail. 
    • Professional communication skills—both written and verbal. 
    • Proficiency with Microsoft Office Suite and/or Google Workspace. 
    • Ability to exercise sound judgment, professionalism, and maintain discretion and confidentiality when handling sensitive material and information. 
    • Degree or equivalent work experience.
    • Local to Chicago with the ability to work onsite several days per week and adjust schedule as needed.
