Role Summary
You will be in charge of managing our offices around the globe. Starting from our French Headquarters, US & UK offices.
Reporting to our Head of People, you will be located in Paris.
Key Responsibilities
1. Ensure daily nice work atmosphere for all Mistralers
- Good functioning and order in our 3 offices (Paris, Palo Alto, London)
- Go to person for any question related to the office
- Office decoration enhancement
- Collaborate with workplace and HR teams to maintain and implement office policies and processes
- Act as the culture ambassador by coordinating activities, meetings, and other community events
2. Deal with our external stakeholders
- Suppliers : cafeteria, maintenance, cleaning, access, etc.
- Furniture : desk, equipment,...
- Visitors : welcoming, mails, deliveries…
- Serve as the onsite contact for maintenance visits, shipping, mailing, deliveries, and inventory management
- Partner cross-functionally with IT, Recruiting, Employee Experience, and Executive Assistants to drive other company initiatives
3. Sample of projects
- Paris : Revamp our new office floor and upgrade service level in cooperation with our landlord
- US : Help us finding a permanent location
- UK : Ensure minimum level of comfort for the team
- Global: Create event / ritual and put processes into place
Experience:
- Proven experience as the key Office Manager in a scale-up (4+ years).
- Management of multiple office locations spread across different geographies
Skills:
- Excellent organizational skills and attention to detail
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office Suite and Google Workspace or ticketing systems supporting employee requests
- Fluent English
