Role Summary 

As our Office manager based in Palo Alto, you will be in charge of managing our Palo Alto office. You will report directly to our Head of People and will work closely with people from various teams.

Key Responsibilities 

1. Maintain and develop a nice and friendly work atmosphere for all Mistralers
• Ensure our Palo Alto offices is up and running
• Act as the go-to-person for all questions related to the office
• Collaborate with workplace owners and HR teams to maintain and implement office policies and processes
• Develop our culture through the organization of activities, meetings, and other community events

2. Deal with internal and external stakeholders
• Suppliers : food provider, maintenance, cleaning, access
• IT : laptops, equipment, hardwares
• Visitors : welcoming, mails, deliveries
• Serve as the onsite point of contact for maintenance visits, shipping, mailing, deliveries, and inventory management
• Partner cross-functionally with IT, Recruiting, Employee Experience, and Executive Assistants to drive other internal initiatives

3. HR admin initiatives
• Coordinate onboarding and offboarding
• Answer to local HR administrative questions
• Manager and update local benefits
• Handle visa requirements


Experience and Skills
• Proven experience as the key Office Manager in start-up (4+ years).
• Excellent organizational skills and attention to detail
• Strong communication and interpersonal skills
• Proficiency in Google Workspace or ticketing systems supporting employee requests
