We offer onsite/hybrid/remote roles (within USA), with the option to work from any of Newfront's office locations.

Role Summary:
This position is responsible for providing full receptionist support to the agency's operations and to assist the Facilities Manager as requested on various administrative activities and projects.

The Facilities Team manages all of Newfront’s offices Nationwide.  We wear several hats with a can-do mentality, being responsible for all incoming mail, faxes, packages, supplies and much more to keep the offices and business looking great and running smoothly.  We also coordinate and order lunches for on-site meetings and provide a welcoming experience for everyone joining us in the office.  With the changing times like the COVID pandemic, we adapt quickly to the evolving office needs and space. This position is an hourly, non-exempt and full-time position.
This position is located at Newfront’s office in San Francisco, CA and requires an onsite presence.
This position reports to: Facilities Manager.

What You'll Be Responsible For:

    • Primary receptionist for all of Newfront’s calls: answer the main phone line, screen and route all calls.
    • Greet and direct all visitors in the San Francisco office; notify employees when visitors arrive.
    • Prepare and process all shipment requests.
    • Perform all duties related to incoming packages and distribution.
    • Order lunches for meetings.
    • Order and maintain snacks and drinks in the office.
    • Business card ordering.
    • Coordinate with outside vendors and property managers to fix any issues that may come up in all offices.
    • Keep the kitchen clean (refrigerator clean out, coffee pot cleaning) in the office.
    • Keep printers full of paper.
    • Assist with conference room scheduling, organization and signage.
    • Other tasks, duties and projects as assigned.

Qualifications:

    • Ability to be flexible with the ever-changing priorities and deadlines.
    • Punctual and able to manage time sensitive issues and projects.
    • Must work well with others in a fast-paced, customer service-oriented environment as well as independently with minimal supervision.
    • Proficiency in Microsoft Windows and Office Suite products and use of the internet. Working knowledge of accounting principles is helpful. 
    • Excellent and positive verbal, written and customer service communication skills.  
    • Strong organizational and prioritization skills and attention to detail.
    • Ability to multi-task efficiently.
    • Active participation as a team member, suggesting improvements and innovations to make Newfront “be better”.

Preferred Knowledge, Skills, & Abilities:

    • High School degree preferred.
    • 1 - 3 years’ experience in a similar role required.
    • Insurance knowledge is a plus.

Physical Demands of the Role:

    • Requires moderate to long periods of time sitting at a desk, using a computer monitor and keyboard, speaking on the phone, etc.  
    • Requires short to moderate (intermittent) periods of time standing or walking, often to and from meetings that require sitting.
    • Requires lifting of objects (mostly documents, laptop equipment, etc.) that weigh fewer than 20 pounds.
    • Requires occasional lifting of objects (mostly boxes, supplies, etc.) that weigh more than 20 pounds.
The pay range for this position in California, Washington, Colorado, and New York at the commencement of employment is expected to be between $49,000 and $55,000/yr; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements, including a bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, the employee will be in an “at-will position,” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
