** The Salary range for this position is $65,000 - $90,000 and is primarily located at our corporate headquarters in Westwood, CA **

About the Role:
We are seeking an experienced and professional Executive Assistant to provide comprehensive and strategic administrative support to the CEO with secondary support for to the executive leadership suite. The ideal candidate is a proactive problem-solver with exceptional organizational skills, attention to detail, and able to handle sensitive and confidential information with discretion. This role interacts with various departments and requires a high level of initiative, collaboration, flexibility, strong communication, and be able to efficiently manage multiple priorities in a fast-paced, high-pressure environment.

Core Expectations:

Executive Support:
• Provide primary administrative and personal support to the CEO, including managing calls, organizing complex calendars, drafting and proofreading emails, reports and presentations. 
• Provide secondary on-site and remote support to the Executive Leadership Team (ELT).
• Act as a gatekeeper for internal and external communications.
• Assist with planning domestic and international travel, accommodations, and itineraries for CEO. 
• Provide additional executive support beyond traditional business functions.

Meeting & Event Coordination:
• Organize and facilitate on-site and virtual executive meetings, preparing relevant briefing materials and agendas to optimize executives’ time.
• Proactively resolve scheduling conflicts and adjust meetings as needed.
• Collaborate with others to coordinate special projects, board meetings, investor calls, executive off-sites, company functions and leadership sessions.
• Manage all catering needs and dinner reservations for executive meetings and special gatherings ensuring high-quality service and seamless execution.

Facilities Management:
• As the primary contact for building management, oversee and schedule all office maintenance needs including repairs, cleaning services, and security.
• Research cost-effective solutions for facility improvements, tracking and managing expenses, as well as submitting invoices and purchase orders to AP. 
• Negotiate contracts with external vendors and ensure compliance with company policies. 
• Organize and optimize office space for efficiency and functionality.
• Ensure common areas including conference rooms, kitchen, and executive offices are always welcoming and well-maintained.
• Organize and maintain office / kitchen supplies replenished at all times.
• Receive, sort, and distribute incoming mail to the appropriate departments or recipients.
• Collaborate with emergency preparedness personnel to ensure compliance with health, fire, and building safety regulations. 

Qualifications and Success Factors:

• 5+ years of experience as an executive assistant supporting Vice President level and above.
• 3 years of personal assistant experience.
• High School Diploma or equivalent (associate’s degree a plus).
• Proficient in Microsoft 365, including OneDrive, SharePoint, and Outlook, with expertise in desktop and cloud-integrated applications.
• Familiar with utilizing Slack, Zoom, ClickUp, or other similar platforms for efficient communication, team collaboration, and project management.
• Familiar with UKG Ready, Navan, NetSuite, or other similar platforms for workforce management, travel expenses, and ERP functions.
