Position Summary
As the first point of contact, the Attendance Hearing Office Administrative Assistant is responsible for ensuring that parents, students, schools, and other pertinent stakeholders, who engage with the Attendance Hearing Office, receive an exceptional customer service experience through the operation of all intake procedures for students referred to the Attendance Hearing Office. This individual must be able to communicate positively and effectively when dealing with stakeholders, respond to inquiries efficiently, and operationalize all intake and procedural protocols for the Attendance Hearing Office. 

Salary Range: $30,400 - $47,610 a year

Essential Duties and Responsibilities

    • Serves as the initial point of contact for all stakeholders.
    • Ensures excellent customer service standards are met by providing information and assistance to stakeholders and internal callers in a timely and efficient manner.
    • Operationalize all intake protocols for students who are referred to the Attendance Hearing Office for attendance conferences.
    • Schedule, in a timely manner, all referrals submitted to the Attendance Hearing Office.
    • Maintains an accurate database of referrals submitted to the Attendance Hearing Office.
    • Reconcile, organize, and file all necessary documentation pertaining to the convening attendance conferences, as conducted by the Attendance Hearing Office.
    • Answers external calls, determines purpose of callers, and forwards calls to appropriate Attendance Hearing Office staff.
    • Greets and maintains a professional, calm, and courteous demeanor at all times when dealing with stakeholders.
    • Responds proactively and calmly when handling difficult situations.
    • Performs other duties as required. 

Education and Experience

    • High School Diploma or equivalent required.
    • Minimum of three years of experience in customer service, clerical, or administrative work strongly preferred.

    • Other Knowledge, Skills or Abilities Required
    • Must be extremely dependable and punctual.
    • Professional appearance and a friendly and personable disposition.
    • Strong interpersonal communication skills, including the ability to work cooperatively and courteously with others and communicate with a variety of personalities in a tactful, pleasant, and professional manner.
    • Strong customer service focus with the ability to prioritize, multitask, and effectively manage time while making a good impression on visitors.
    • Strong accuracy and attention to detail skills to ensure visitors are given accurate information and mistakes are minimized.
    • Proficiency in the use of Microsoft Office Programs and experience using office equipment.
$30,400 - $47,610 a year
Salaries are determined by educational background and/or relevant years of experience.

- Normal setting for this job is an office/school setting.     

Performance Evaluation
The employee will be evaluated based on the above position using either two methods: via COMPASS or a NOLA-PS evaluating instrument. If the employee holds an Educational Leadership certification, he/she will be evaluated via COMPASS to ensure renewal of certification.
