About the role:
As a Web Project Coordinator at PetDesk, you will be the primary point of contact for new clients during the website onboarding process. You’ll lead customer communications, coordinate internal project milestones, and ensure timely and successful website launches. This role is critical in delivering a smooth, professional onboarding experience—turning each new website project into a seamless and satisfying journey for our clients. Working closely with the Web Development, Design, Sales, and Customer Success teams, you’ll manage timelines, surface and resolve roadblocks, and provide best-in-class service from project kickoff through launch.

- Serve as the primary coordinator and customer liaison for all assigned website onboarding projects
- Host customer calls to gather website content, brand preferences, and technical requirements
- Proactively manage timelines and deliverables, ensuring customers and internal teams remain aligned and on schedule
- Collaborate with internal stakeholders (Sales, Customer Success, Design, Development, and QA) to ensure handoffs are smooth and expectations are clearly defined
- Monitor project status, escalate blockers, and keep both internal teams and customers informed of progress
- Maintain up-to-date and accurate project records across CRM (Salesforce), project management tools, and internal documentation systems
- Identify upsell opportunities and contribute insights that support account growth and improved implementation processes
- Represent the voice of the customer internally, always advocating for a positive, efficient experience
About You
- 2+ years of experience in project coordination or management, ideally in web design, creative services, or digital implementation
- Understanding of website design and development processes, including the roles of Design, Content, SEO, and QA
- Strong communication skills with the ability to lead phone and video calls, manage customer relationships, and guide discussions confidently
- Highly organized with proven time management skills and the ability to manage multiple active projects simultaneously
- Comfortable working cross-functionally in a fast-paced, high-volume environment
- Customer-first mindset—you take pride in building rapport and ensuring satisfaction from first contact to final delivery
- Proficient with G-Suite; experience in Salesforce, WordPress, and project management tools (like Wrike, Monday, Asana, or Trello) is a plus
- Detail-oriented, self-motivated, and focused on execution and results
