As the Human Resources Coordinator for Pivotal, you will play a critical role in supporting the HR department by handling various administrative tasks and ensuring the smooth operation of HR processes . Scheduling, Managing Candidate visits and Recruitment Support

    • Assist in the recruitment process by posting job openings, reviewing resumes, and scheduling interviews
    • Ensure that every candidate has a positive experience with Pivotal regardless of hiring outcome
    • Greet and host onsite candidates, ensuring a seamless interview experience
    • Coordinate onboarding activities for new hires, including paperwork and orientation programs

Employee Relations

    • Act as a point of contact for employees regarding HR-related queries

Administrative Tasks

    • Support Admin needs of leadership team prioritized with HR related tasks
    • Maintain and update employee records and HR databases
    • Prepare and distribute HR-related documents such as offer letters, contracts, and policies

Benefits Administration

    • Support the administration of employee benefits programs
    • Assist employees with benefits-related inquiries

Training and Development

    • Coordinate training sessions and workshops for employees

HR Projects

    • Participate in HR projects and initiatives as assigned
    • Contribute to the development and implementation of HR programs

Qualifications

    • Degree in Human Resources, Business Administration, or a related field
    • Previous experience as an EA or HR coordination or related roles is preferred
    • Strong organizational and multitasking abilities, with attention to detail and accuracy
    • Strong written and verbal communication skills
    • Excellent time management and prioritization skills
    • Experience managing and conflicting schedules among busy leaders in a fast-paced environment with adaptability to evolving changes
    • Expert mastery with Outlook/MS Office 365 and the Google Office Suite
    • Familiarity with a Learning Management System such as WorkRamp a plus
    • Accuracy and attention to detail in handling HR processes and documentation
    • Ability to work well with employees at all levels and maintain confidentiality
    • Familiarity with a HRIS (Human Resources Information System), and an Applicant Tracking System (ATS) such as Lever
    • Enthusiasm for learning new productivity tools and workflowsAbility to identify and address HR-related issues effectively
Applicants must be eligible for employment in the United States and willing to work onsite at our HQ office in Palo Alto, CA.
