Pivot Energy is seeking a motivated Office and Events Associate to join our team based in Denver. This position will provide a wide range of administrative support for team members at Pivot’s company headquarters, as well as our regional offices and those working remotely. To be successful in this position, the ideal candidate will have an inherent desire to plan and implement complex company-wide and regional events that support the backbone of Pivot’s culture of connectedness. The person in this role will also manage the day-to-day operations of the Denver office, partnering with members of the People team and others to plan and execute recurring and special activities supporting our teams. The person in this role will be highly collaborative and communicative, partnering with Technology Solutions, Marketing, Business Operations, and the Executive Leadership team. This is an exciting, fast-paced role requiring creative thinking and problem-solving skills to succeed. Due to the need for in-person support, remote candidates will not be considered.

PRIMARY RESPONSIBILITIES

    • Create and maintain a welcoming environment for all employees working in and visiting Pivot’s headquarters in Denver
    • Monitor and manage office supplies, organize office storage areas, maintain kitchen/snacks and weekly lunch service for the Denver office team
    • Open, sort, and distribute incoming and outgoing mail, deliveries, and other correspondence
    • Manage logistics for outgoing shipments and mail
    • Liaise between building management and the Denver office; convey information regarding office management to Pivot team members
    • Assist as needed with hiring, onboarding, and other special projects, including welcome packages for new employees, business card orders, and new employee setup
    • Notarize documents for company executives and assist with other tasks as needed
    • Assist with coordination/logistics of internal events (company retreats, board meetings, leadership retreats, holiday parties, happy hours, etc.)
    • Coordinate conference logistics with the Marketing/Executive Team; assist in travel planning for conferences, hotel reservations, etc.
    • Assist with ordering and execution of swag and coordinating used clothes embroidery with the print shop
    • Provide general administrative support to executive team members and teams as necessary
    • Additional tasks as required

REQUIRED COMPETENCIES

    • 2+ years’ of experience working with internal operations or human resources/people operations
    • Self-starter with strong self-motivation and a proven capacity to work in a fast-paced, highly fluid environment
    • Excellent written and verbal communication skills
    • Friendly, approachable, and professional demeanor
    • Proven ability to exercise good judgment, discretion, and confidentiality
    • Exceptional organizational, collaboration, and planning skills
    • Proficiency in G-Suite, basic A/V technology, and communication tools such as Slack to effectively communicate and collaborate with team members 

PREFERRED COMPETENCIES

    • Prior administrative or assistant experience
    • Knowledge of employment and human resource processes and procedures
    • Interest in the solar or renewable energy industry + sustainability
    • Notary commission
$60,000 - $90,000 a year
The base salary range for this position is $60,000-$90,000 depending on relevant experience, along with eligibility for the company’s substantial bonus plan, with a target bonus of 30% of annual salary (prorated in the first year based on start date).
