Planned Parenthood Los Angeles is seeking an experienced Clinical Education Assistant to work in our Downtown Los Angeles Headquarters. Reporting to the Sr. Manager of Health Center Training, the position will provide support to various aspects of health center staff training and skill/competency assessment documentation. The position will assist with the completion and documentation of clinical/health center training requirements.

Our Ideal Candidate will have the following qualifications:

    • Bachelor’s degree or equivalent work experience required.
    • One (1) to Three (3) years’ experience in administrative assistant work or similar position preferred.
    • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and similar software.
    • Availability to work flexible hours, including weekends and evenings as required. 
    • Ability and willingness to travel within Los Angeles County.
    • Reliable means of transportation for onsite and off-site work.
    • If using a personal vehicle to drive for work purposes, a valid CA driver license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.

About the Position:

    • Abortion patients are cared for at each of our health centers, and in part through the administrative, support, and other non-clinical services provided at all PPLA locations, and by all PPLA employees. Supporting these critical services is an essential job duty, and a fundamental responsibility of all employees and contractors.
    • Maintain systems to effectively track and report on training completion.
    • Coordinate with Human Resources to ensure personnel files have appropriate documentation of training, as needed.
    • Coordinate internal resources and third parties/vendors (e.g., Organon Nexplanon) for the execution of training projects.
    • Maintain program supplies and materials and make purchases as needed.
    • Ensure that training records are available in electronic and/or hard-copy and that they are accurate, complete, in compliance, and secure.
    • Ensure records are in an inspection-ready state.
    • Provide regular updates to health center leaders on their staff members’ training completion.
    • Pull and provide regular reports to supervisor(s) on training activities.
    • Serve as a liaison between Training Department and health center staff.
    • Maintain regular systems of communication with health center staff, including Center Managers, Supervisors, and Call Center to review training needs.
    • Assist with communications for the training program, including email notifications and reminders.
    • Coordinate and attend meetings for the Training Department Including but not limited to coordination of schedules with other departments , creation of agendas and notes with follow ups distribution.
    • Maintain relationship with all PPLA departments and partners.
    • Maintain knowledge of all PPLA standards and policies.
    • Assist with identification of opportunity to improve processes for administrative tasks and provide suggestions department leadership. 

In-field Training & Skill Assessment Support

    • Track status of licensed staff and non-licensed health center staff while in new hire in-field training and advanced skills training.
    • Track due dates of training records and follow up with trainees, preceptors, and leadership as needed.
    • Communicate with trainees, preceptors, supervisors, and other stakeholders to provide status updates on licensed staff training, including current privileges, due dates for assessments, and skill areas to focus on. 
    • Review documentation and ensure training files are complete and in compliance with PPLA policies, Accreditation requirements, and regulatory requirements.
    • Coordinate surveys to collect feedback, and prepare reports to summarize feedback.
    • Prepare documents for medical leadership to review and issue privileges.
    • Conduct regular and ongoing audits of training files to ensure compliance. Organize files and follow up on any missing information and documentation as needed.
    • Track completion of annual clinical skill assessments and medical record reviews for all medical staff. Send communication to follow up with any missing assessments/ reviews.
