Planned Parenthood Los Angeles is seeking an experienced Administrative Assistant II to work in our Downtown Los Angeles Headquarters. Reporting to the Chief Administrative Officer (CAO), this role provides a high level of administrative and clerical support for the offices of the CAO--including IT and Partner Relations.

Our Ideal Candidate will have the following qualifications:

    • High school diploma or equivalent required.
    • Bachelor’s Degree a plus.
    • 3-5 years’ experience in an office setting, preferably supporting an executive team required. 
    • Proficiency in MS Word, Excel, Outlook, PowerPoint and DocuSign, as well as ability to utilize Internet resources.
    • Ability to use means to monitor and track processes and activities as a part of process improvement efforts and project coordination.
    • Ability and willingness to travel within Los Angeles County.
    • Reliable means of transportation for onsite and off-site work.
    • If using a personal vehicle to drive for work purposes, a valid CA driver license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.

About the Position:

    • Abortion patients are cared for at each of our health centers, and in part through the administrative, support, and other non-clinical services provided at all PPLA locations, and by all PPLA employees. Supporting these critical services is an essential job duty, and a fundamental responsibility of all employees and contractors.
    • Performs general duties related to supporting the functions of the CAO office: assists in coordinating meeting logistics, gathers and organizes reports and data from CAO’s teams and maintains electronic files. 
    • Supports the management of Accreditation and RQM materials and updates for IT and Partner Relations departments.
    • Reconciles monthly CAO credit card statements and produces CAO expense reports such as mileage and other expense reports.
    • Manages the workflow of documents the CAO must review and approve.
    • Prepares, proofreads, and edits reports, letters, forms, and other communications according to established procedures and as requested. Drafts routine correspondence. 
    • Manages review, execution and archival of documents using DocuSign and other document management systems.
    • Supports development of presentations for senior staff and the Board of Directors.
    • Coordination of staff activities such as regular one-on-ones, staff and all hands meetings, including capture and tracking of action items and follow-ups
    • Assists in the tracking and of key staff deliverables and follow-ups on outstanding issues.
    • Responsible for tracking Earned Time Off Requests for CAO’s team.
    • Provides general office duties such as scanning, copying, word processing, filing, screening calls, scheduling meetings, etc.
    • Performs coverage for Front Desk Attendant during 1 hour meal breaks and additional 10 min breaks related to effectively answering all incoming calls and greeting all visitors to Headquarters. Coverage will also include day(s) Front Desk Attendant is out of office for vacation and/or leave (sick leave etc.).
    • Participate in special projects as requested by the CAO.

    • Hiring Range: $25.00 - $28.00 (Non-Exempt)
