Planned Parenthood Los Angeles is seeking an experienced Accounts Payable Specialist with excellent customer service skills to join our team at our Downtown Los Angeles Headquarters.  Under the general supervision of the Accounting Supervisor, the Accounts Payable Specialist is responsible for processing all forms of payment for invoices, refunds, expense reports, and payment requests.

Our Ideal Candidate will have the following qualifications:

    • Minimum of two (2) years accounts payable experience required
    • High school diploma or equivalent required
    • Knowledge of principles and methods of financial record keeping required
    • Must be proficient in Microsoft Excel and Word
    • Must have experience with closing journal entries
    • Knowledge of Great Plains Dynamic software a plus
    • Strong computer and accounting skills essential
    • Availability to work flexible hours, including weekends and evenings as needed
    • Ability and willingness to travel within Los Angeles County

About the position:

    • Detailed review of all incoming invoices, payment requests, and expense reports to ensure they are properly documented, mathematically accurate, and approved in line with policy, and assign accurate General Ledger coding for each expense
    • Enter all payment request data into PPLA’s accounting software in order to generate weekly check run
    • Process and pay all invoices, payment requests, and expense reports on a timely basis, taking advantage of discounts whenever possible
    • On a daily basis and in coordination with other accounting staff, ensure that all checks are deposited to the proper bank account, update the daily cash log, and manage cash logistic services
    • Scan and maintain accounts payable paid files and back-up documentation, and save in the appropriate network folders.  Keep files current and organized
    • Maintain an accurate Vendor Master List, with correct addresses and other necessary information
    • Assist with year-end duties including the processing and mailing of 1099 information to applicable vendors
    • Communicate with vendors and other PPLA departments to resolve any payment discrepancies, or any issues related to Accounts Payable, as needed
    • Perform various vendor analysis and reconciliations, and other ad-hoc projects as requested by the Accounting Supervisor or Controller
