Planned Parenthood Los Angeles is seeking an experienced Executive Assistant to work in our Downtown Los Angeles Headquarters. Under the supervision of the Sr. Director, Board Relations & Strategic Operations, the Executive Assistant will provide a high-level of executive administrative support to the Chief Executive Officer and Chief Operations Officer.

Our Ideal Candidate will have the following qualifications:

    • Bachelor’s Degree or equivalent work experience required.
    • Minimum of 5 years’ experience working as an executive assistant to a senior-level executive required.
    • Experience working as an assistant in entertainment or another fast-paced field highly preferred.
    • Proficient in MS Office Suite. 
    • Availability to work flexible hours, including weekends and evenings as required. 
    • Ability and willingness to travel within Los Angeles County.
    • Reliable means of transportation for onsite and off-site work.
    • If using a personal vehicle to drive for work purposes, a valid CA driver license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.

About the Position:

    • Abortion patients are cared for at each of our health centers, and in part through the administrative, support, and other non-clinical services provided at all PPLA locations, and by all PPLA employees. Supporting these critical services is an essential job duty, and a fundamental responsibility of all employees and contractors.
    • High-level executive administrative support including, but not limited to: heavy calendaring, coordinating meetings with external partners and internal teams, arranging conference calls, handling a complex and constantly changing schedule and maintaining a high degree of discretion and confidentiality
    • Work closely and productively with other colleagues to ensure efficient coordination of meeting times, dates, and technology
    • Arrange detailed travel plans and itineraries and compile travel documentation. 
    • Answer routine questions and furnish information in a timely manner, with an ability to seek out information and problem-solve within a large organization.
    • Manage and prioritize information flow and meetings throughout the day.
    • Assist with short and long-term projects, research, and produce presentations using various presentation software.
    • Assist in the compilation of materials for monthly mailings to the Board of Directors.
    • Reconcile monthly bank and credit card statements to include mileage reimbursement and expense reports.
    • Assist in set up of meetings including, but not limited to, all matters related to the preparation of meeting materials, room set up and breakdown, catering, lunch orders etc. for Senior Staff Meetings, Board Meetings and Board Committee Meetings.
    • Responsible for sorting and distributing all incoming and outgoing mail for the Executive Office.
    • Responsible for tracking Earned Time Off Requests for the Senior Leadership Team.
    • Assist in keeping the President/CEO’s Office equipped with general office supplies, marketing materials, business cards, stationery and supplies critical to the functioning of the office.
    • Participate in special projects and mailings as requested by the Senior Leadership Team.
