Planned Parenthood Los Angeles is seeking an experienced Executive Assistant with excellent customer service skills to work in our Downtown Los Angeles Headquarters.  Provide a high level of administrative and clerical support for the offices of the President/CEO, COO and Chief Legal Counsel (the “Executive Office”).

Our Ideal Candidate will have the following qualifications:

    • 1 to 2 years’ experience in an office setting, preferably supporting an executive team
    • Excellent interpersonal skills, well organized and dependable
    • High school diploma or equivalent required
    • Bachelor’s Degree preferred
    • Availability to work flexible hours including evenings and weekends, as required
    • A reliable and flexible means of transportation is required

About the position:

    • Perform general duties related to supporting the functions of the Executive Office: answer phone, assist in coordinating meetings and meeting arrangements, travel arrangements, maintaining frequent flier/hotel reward programs, maintain and update contacts, maintain electronic files
    • Reconcile monthly bank and credit card statements to include mileage reimbursement and expense reports
    • Assist with drafting written staff and agency communications
    • Assist in storage of Agency archival information including Executive Office files, Board Meeting Minutes, Board files and minutes from Senior Staff meetings in accordance with Agency and legal guidelines for data storage
    • Assist in maintaining and updating Board and Committee information, e.g. Board Directory, Orientation Manual, Member Files, and monthly Board mailings
    • Assist in set up of meetings including, but not limited to, all matters related to the preparation of meeting materials, room set up and breakdown, catering, etc. for Senior Staff Meetings, Board Meetings and Board Committee Meetings
    • Responsible for sorting and distributing all incoming and outgoing mail for the Executive Office
    • Responsible for keeping the President/CEO’s Office equipped with marketing materials, business cards, stationary. and supplies critical to the functioning of the office
    • Participate in special projects and mailings as requested by the President/CEO, COO and/or Chief Legal Counsel
