The Special Event Coordinator supports the Development Team in planning, coordinating, and executing all fundraising and donor engagement events across the state of Utah for PPAU. This role ensures seamless event logistics, assists the Development team in event-related donor stewardship, and collaborates across departments to enhance community engagement through events. The Special Event Coordinator works closely with the Associate Director of Development to align events with organizational fundraising goals, increase donor participation, and elevate Planned Parenthood’s presence within the community.

Essential Job Functions

    • Coordinates, Implements, and Evaluates Fundraising and Engagement Events:
    • Assists with the planning and execution of all major fundraising events, including the annual Gala, Chocolate Festival, Live PC Give PC, house parties, and other donor cultivation events.
    • Coordinates event logistics, including venue selection, vendor management, contract negotiations, program development, and onsite execution.
    • Supports event budgeting to promote cost efficiency and optimize revenue potential.
    • Coordinates and oversees event volunteers to ensure smooth operations.
    • Represents PPAU on the day of the event and ensures operations run smoothly
    • Assists in gathering event data and compiling post-event reports to evaluate performance and support future planning.

Event Fundraising and Donor Engagement:

    • Works in collaboration with the Chief Development Officer and Associate Director of Development to design events that align with fundraising priorities, ensuring donor engagement and retention.
    • Assists with sponsorship outreach and partnership development to secure in-kind and monetary event support.
    • Facilitates meaningful engagement opportunities at events to enhance donor stewardship and build connections with new supporters.
    • Supports peer-to-peer fundraising initiatives and other donor-driven event efforts.

Supports the Chief Development Officer:

    • Ensures compliance with all local, state, and federal laws governing charitable fundraising and event operations.
    • Stays informed about event planning best practices, fundraising trends, and innovative engagement strategies from PPFA affiliates and other aligned organizations.
    • Represents the organization at community and professional events, fostering strong relationships with donors, sponsors, and stakeholders

Maintains Communication and Upholds Professional Standards:

    • Maintains open lines of communication with internal and external stakeholders to ensure events run smoothly.
    • Represents Planned Parenthood in a professional and positive manner when interacting with event attendees, donors, vendors, and staff.
    • Ensures adherence to confidentiality policies, including HIPAA and Planned Parenthood standards.
    • Attends and actively participates in required meetings, training sessions, and the annual team review process.
    • Demonstrates respect for diversity in all daily activities and upholds productivity standards.

Minimum Qualifications

    • High School Diploma or equivalent experience.
    • 1-3 years of professional fundraising experience and/or relevant experience such as event planning, marketing, community outreach, etc. preferred.
    • Demonstrated experience in planning special events and/or managing projects successfully.
    • Excellent organizational skills and attention to detail.
    • Strong interpersonal and communication skills include strong writing skills.
    • Ability to work flexible hours, including evenings and weekends.
    • Comfort with technology, including Microsoft Office, Google Workspace, and donor databases (e.g., Raiser's Edge or similar) preferred.
    • Ability to work as part of a team.
    • Passion for Planned Parenthood’s mission and commitment to reproductive health and rights.
    • Excellent organizational skills and attention to detail.
    • Previous experience in event planning, nonprofit work, or customer service is a plus.
$24.03 - $26.44 an hour

The starting pay for this position is $24.03 - $26.44 an hour DOE.
