The Grants Administrator is responsible for managing the implementation, tracking, and reporting of all private foundation, philanthropic, PPFA, and government grants, with a particular emphasis on development-driven grants that support Planned Parenthood Association of Utah’s (PPAU) mission and strategic goals. This role includes supporting compliance and administrative functions for Title X and other clinical grants, working in close coordination with the Chief Compliance Officer and clinical leadership.
The Grants Administrator ensures that all grant activities—from proposal development to reporting—are executed effectively, in alignment with funder requirements and organizational priorities. This includes collaborating with development, program, and finance staff to gather necessary data, prepare strong grant applications, manage deadlines, and ensure accurate reporting and budget tracking. The role plays a critical part in securing and sustaining external funding from a wide range of sources.
Essential Job Functions:
- Lead the administration of private foundation, philanthropic, PPFA, and development-related grants, including proposal coordination, budget tracking, outcome reporting, and ongoing funder communication.
- Support the preparation and submission of government and clinical grants, including Title X, by coordinating application materials, ensuring compliance, and assisting with documentation and reporting requirements.
- Coordinate with the Chief Development Officer (CDO) and Chief Financial Officer (CFO) to identify and pursue new funding opportunities, manage the comprehensive grants calendar, and ensure timely and complete application submissions and reporting.
- Track deadlines and grant deliverables to ensure timely execution and reporting.
- Maintain accurate and organized records of all grant activity, including proposals, budgets, reports, correspondence, and compliance documentation.
- Act as a liaison between departments to ensure cohesive grant management, scheduling meetings, preparing agendas, and addressing concerns in real-time.
- Serve as a liaison to funding partners, including PPFA, foundation representatives, and government agencies, ensuring professional and mission-aligned communication.
- Provide training and ongoing support to relevant staff regarding grant responsibilities.
Minimum Qualifications:
- Bachelor’s degree in public administration, nonprofit management, communications, public health, or a related field; equivalent combination of education and experience may be considered.
- Minimum of 3-5 years of experience in grant administration, preferably with a focus on Title X or other federal funding programs.
- Knowledge in federal grant management principles and practices preferred but not required.
- Strong project coordination, task tracking, and problem-solving skills.
- Excellent communication abilities with proficiency in preparing clear and persuasive written materials.
- Detail-oriented with strong time management skills; adept at working under tight deadlines.
- Experience in financial tracking, budget preparation, and administrative support.
- Proficiency in Microsoft Office Suite, NetSuite Grants Administration module, and Raiser’s Edge.

$60,000 - $65,000 a year

The starting pay for this position is $60,000 - $65,000 annual DOE.
