Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.
Planned Parenthood Federation of America (PPFA) seeks a Specialist, Accreditation & Evaluation, to assist with the overall daily administrative functions of the Accreditation and Evaluation Department (AED). PPFA’s Accreditation Program ensures that affiliate programs and systems are in compliance with PPFA’s Standards of Affiliation.
Purpose:
The specialist will provide operational support to the AED review manager team and manage operational processes to support accreditation reviews and affiliates. They will provide general operational support to the team by providing relevant data for project metrics and identifying impediments to successful implementation, along with recommendations to resolve them. They will provide occasional administrative assistance to the National Director of AED.
Delivery:
Accreditation Liaison Duties & Project Management Responsibilities:
●Serve as an accreditation point person and affiliate liaison to facilitate accreditation review preparation, including but not limited to orientation to the AED resources, timelines, and processes.
●Troubleshoot and resolve mid-level complexity issues related to reviews, including providing both written responses and having regular engagement in verbal discussions with affiliate staff.
●Oversee and ensure the resolution of logistical and scheduling issues with the affiliate and the accreditation team; handle and resolve accreditation team travel and technological issues.
●Support the accreditation review team, review process, and logistics. Create and manage assigned projects by identifying deliverables, tracking project progress, and meeting with identified stakeholders.
●Manage the accreditation review tools revision process by identifying items for annual review/update, setting timelines, tracking progress, and keeping all stakeholders informed.
●Oversee the management of the department’s accreditation SOPs
●Identify and review process trends and challenges and initiate proposals and discussions to streamline processes and address identified challenges.
●Create effective timeframes to support the provision of services consistent with program needs.
●Sustain continuous delivery of quality services, incorporating adjustments due to changing operational and environmental conditions/demands.
Administrative & Accreditation Operational Support:
●Help evaluate, coordinate, and/or participate in various accreditation review processes to ensure that accreditation reviews are consistent and standardized. Assess accreditation processes and identify, recommend, and help implement process improvements. Assist in content development in various accreditation assessment tools.
●Ensure deliverables, follow-ups, and due dates, including all receivables, are distributed appropriately and provide quality control to ensure all steps are completed and accurate.
●Coordinate all review logistics (e.g., hotel reservations and scheduling calendar invites), affiliate deliverables (e.g., document submission), follow-ups, and due dates, including ensuring all materials are received and distributed appropriately.
●Create and help manage affiliate review folders. Including, but not limited to, populating and formatting accreditation review tools as needed.
●Provide support for accreditation program expert partners by coordinating interview schedules, ensuring revisions to program expert tools and resources, and providing related program expert support as needed.
●Attend and contribute to review manager meetings and provide operational support.
●Manage the resolution and develop solutions to problems issues as needed (e.g., document access problems).
●Examine operational trends and assist the leader/s in managing and tracking them.
●Create and help manage databases, tracking logs, the intranet page, folders, and inboxes.
●Special projects, as assigned. Special projects may include assisting with the periodic evaluation and revision of the PPFA accreditation standards, collecting and analyzing accreditation review outcomes, and reviewing various tools and guides to ensure they reflect the current process.
Engagement:
●Engage with team and affiliate staff daily to manage calendars, plan agendas, support them on team/ project priorities, and share execution/ delivery issues that may have come up for the team/ project.
●Engage and advise team members to support them with operational matters and explain administrative aspects of supporting the team’s work.
●Engage with other coordinators and administrators to coordinate/ schedule meetings, disseminate relevant information, plan agendas, and resolve operational issues.
●Communicate with teams and stakeholders to address issues affecting transaction/process execution and service delivery
Knowledge, Skills, and Abilities (KSAs):
●Associate or Bachelor’s degree preferred. Minimum of Five years of administrative or project management experience is desirable.
●Takes initiative to recognize and respond to problems with potential solutions in a highly professional, timely, confidential, and sensitive manner.
●Strong interpersonal, oral, and written communication skills.
●Excellent organizational skills with sharp attention to detail and the ability to meet critical deadlines.
●Ability to identify trends or process challenges and to conceptualize and present proposals addressing those.
●Ability to organize and manage mid-level projects that involve significant collaboration and require oversight of deadlines, quality, and inclusiveness.
●Self-directed and can work alone or in a team.
●Ability to work collaboratively and flexibly with a dynamic, fast-moving team, completing multiple tasks with poise, accuracy, and confidence
●High proficiency in Google suite
●Flexibility and ability to adapt to quickly changing priorities and ambiguous situations.

Travel: 0 - 10%
$65,000 - $70,000 a year
