Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.

Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seeks an Enterprise IT Systems Senior Specialist who will ensure that the organization's software applications are effective, efficient, and aligned with business goals.

Purpose:
      Focus on managing, maintaining, and enhancing the application software that supports an organization's business processes.

      Involves routine activities to keep enterprise applications running smoothly. This includes fixing bugs, performing updates to ensure compatibility with other systems, and making minor enhancements to improve performance or user experience.

      Provides end-users with assistance on how to use various applications effectively. This can range from troubleshooting application issues to offering training sessions or creating documentation and guides to help users navigate complex software features.

      Software Customization and Configuration: Tailors off-the-shelf software applications to meet the specific needs of the organization. This could involve modifying configuration settings, or integrating third-party tools to enhance functionality.

      Maintaining up-to-date awareness of system roadmaps for key changes in system functionality or configuration whether deprecated or enhancements affecting business processes and integrations affecting end users.

      Create communication plans and communicate relevant system changes and enhancements to the business end users to provide awareness and ensure business continuity.

Delivery :
       Assessing and evaluating application change requests for potential impact, feasibility, resource requirements, and compliance with existing policies and standards. Authorize changes that meet criteria or escalate them to a higher authority when necessary.

      Evaluate the impact of changes on IT systems and end users ensure minimal disruption to users.

      Ensures that applications comply with PPFA and industry standards and legal regulations, which can vary significantly depending on the organization's sector. This includes managing data privacy laws, financial reporting standards, and industry-specific regulations.

      Focuses on the efficient handling of data within applications, including data entry, storage, retrieval, and transfer between systems. Ensuring data integrity and facilitating seamless data integration across different applications are critical components.

      Oversee software licenses to ensure compliance with licensing agreements and avoid legal issues related to under-licensing or piracy. This includes maintaining an inventory of software licenses, monitoring usage, and ensuring that the organization does not exceed its license entitlements.

      Software Inventory: Maintain an accurate and up-to-date inventory of all software assets within the organization. This involves tracking software installations across different devices and systems, and keeping record of software versions, patches, and updates.

      Cost Management: Optimize software spending by identifying unused or underutilized licenses that can be reallocated or terminated, negotiating favorable terms with vendors, and choosing the most cost-effective licensing models.

      Assist with installation and integration processes, security issues, and program upgrades.

      Provide remote tech support and troubleshooting services by phone or chat.

      Make recommendations to guide future technology plans or purchases by staying abreast of software roadmaps and industry trends.

      Coordinating with IT support teams to submit vendor tickets for reporting new system issues identified or escalating existing cases.

      Submitting new system feature enhancement or requirement requests for future vendor application development roadmap.
 
Engagement:
      Develops relationships with software vendors, including handling renewals, and ensuring that the organization complies with software licensing agreements.

      Develop and implement policies and procedures for Software Asset Management (SAM) within the organization to ensure consistent and effective management practices.

      Communicate with stakeholders across the organization, including IT, procurement, legal, and finance departments, to ensure alignment of SAM practices with business objectives and compliance requirements.

      Contribute to the organization's IT strategy by providing insights and recommendations based on software asset analysis, trends, and future needs.

      Identify and recommend technological solutions to automate and streamline business processes utilizing existing software tools or new tools.  
 
Knowledge, Skills and Abilities (KSAs):
      Bachelor’s degree in Computer Science, IT, or related field.
      Knowledge of ITSM principles.
      ITIL Foundations certification a plus
      3+ years of experience in application administration and support
 
TRAVEL: This position is a NY/DC office-based or Telecommuter role. Up to 10% travel on occasion.
$82,000 - $87,000 a year
Total offer package to include generous vacation + sick leave + paid holidays, individual/family provided medical, dental and vision benefits effective day 1, life insurance, short/long term disability, paid family leave and 401k.
