Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.

Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek a Deputy Chief of Staff, Office of the President. This job reports to the Chief of Staff and works closely with the President and CEO in the Office of the President (OOP) of PPFA. The OOP develops, monitors and supports all organizational priorities and cross-cutting strategies on behalf of the National Office and the Federation. The OOP Team provides support to the President, working closely with colleagues and external stakeholders to ensure that the President and the work of this organization are set up for success. Purpose:
Reporting directly to the Chief of Staff, the Deputy Chief of Staff plays a critical role in supporting the President and overseeing functions of the Office of the President. This role will work closely with the President, Chief of Staff, and key stakeholders to ensure that the President’s focus is on keeping pace with Planned Parenthood’s long-range goals and the demands of their office while also balancing external commitments. Across the organization, this is an influential and visible role that requires an individual who is comfortable with influencing without direct authority, is unflappable in the face of crisis or high-stress situations, is able to respond to multiple competing demands, and is a true team player.
Delivery:
The areas of focus for this role will be Principal Support, Leadership & Management of the Presidential Affairs Team, and Oversight of OOP Operations & Administration.
Responsibilities:
Partnership with Chief of Staff:
●Fully understand and advance the priorities and goals of PPFA and PP Action Fund and the President through the strategic use of the President’s time, relationships, and engagements.
●Maintain an awareness of organizational and movement issues and relay key information and status reports to the Chief of Staff and the President and CEO.
●Balance the needs of stakeholders, especially the staff, affiliate CEOs, donors, volunteers, and supporters, to determine what requires the most immediate attention, by whom and when.
President and CEO Support
●Oversee the development of the President's strategic calendar and daily agenda, ensuring that priorities are identified and aligned for both PPFA and the OOP.
●Ensure that the President and CEO is fully briefed and prepared with supporting materials for all internal and external events and meetings.
●Lead a proactive strategy that enables the President to develop relationships and engage key stakeholder communities in service of organizational goals and objectives.
●Work with communications staff to facilitate the creation of high-impact external communications strategy for all of the President’s engagements.
●Oversee the President’s follow-up and debriefing process, ensuring accuracy and consistent follow-up and facilitation of next steps across internal/external stakeholders.
●Monitor the president’s inbox and support follow-up as appropriate
●Ensure the President has adequate and properly trained staffing support to help keep them organized and informed while traveling and attending events.
●Develop, track and report annual performance metrics and for the use of the President’s time and Presidential Affairs’ team support
●Travel as required.
Leadership & Management of Presidential Affairs Team:
●Provide direct leadership, management, and mentorship to the Presidential Affairs Team.
●Implement systems and processes to organize and track monthly, quarterly and annual commitments of the President and responsibilities of the OOP Presidential Affairs Team.
●Work closely with senior leaders across the organization on projects and initiatives that require workload resourcing from the Presidential Affairs Team.
●Collaborate across divisions, functions, and geography while engaging colleagues at all levels in projects and processes while continuing to own and drive them.
●Ensure fiscal responsibility and management of the Office of the President (Division) annual operating budget and expenses.
●Serve as signatory/proxy on behalf of the Office of the President Division
Engagement:
This role works closely with the Chief of Staff; President and CEO; members of the Office of the President Division; The Executive Leadership Team; the Board of Affairs; the PPFA and PPAF Board Chairs; the President’s Senior Advisors; Presidential Affairs Team.
Knowledge, Skills and Abilities (KSAs):
●10+ years’ experience managing portfolios of work in complex environments.
●Experience in political campaigns, electoral management, organizing and/or fundraising.
●Strong managerial and interpersonal skills.
●Proven track record of effectively interacting with senior management.
●Ability to work strategically and collaboratively across departments and operate in a collaborative and highly matrixed environment, and have experience sustaining a sense of order and structure to deliver great results.
●Ability to identify priorities, work independently and develop tactics for addressing issues or requests and extensive knowledge of public policies at the state and federal levels.
●Exceptional attention to detail and ability to learn and execute quickly.
●A proven track record of building strong relationships with multiple high-level stakeholders, including candidates, donors, board members, campaign staff, party committees, partner organizations, and cross-team colleagues, based on effective interpersonal skills.
●Previous experience in leading large teams, seeing to direct reports’ growth and success.
●Commitment and track record of advancing racial equity in both operations and communications.
●Ability to drive change in a consensus-oriented environment.
●Demonstrated ability to multitask, learn and process information quickly, and exercise good judgment when dealing with a wide variety of people.
●Aptitude to ensure issues are addressed properly, efficiently and judiciously, and keep track of progress until resolved.
●Effective, versatile and action-oriented.
●Excellent communication skills.
●BA preferred. MA is a plus.
Travel: Approximately 20%
$180,000 - $190,000 a year
