Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.
Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek a self-motivated and detail-oriented Coordinator, Prospect Management. This job reports to the Director, Prospect Management & Strategy in the Principal and Major Gifts department (PMG) of PPFA. The PMG department raises revenue from high net-worth individuals and families by building and deepening relationships to yield six-, seven-, and eight-figure gifts to support the mission of PPFA, PPAF, PPVotes, and the Federal PAC.
Purpose: The Coordinator, Prospect Management is responsible for comprehensive administrative, events, research, and data support to the PMG department. The position will balance multiple evolving deadlines for projects related to frontline fundraising and high-touch donor data management in support of the PPFA Principal and Major Gifts Team and the affiliate partners in the Collaborative Fundraising Program (CFP).
Delivery:
Under the supervision of the Director of Prospect Management & Strategy, the Coordinator will assist members of the Frontline Fundraising team and the Prospect Management team in this hybrid-support role.
Specific responsibilities include:
● Support major gifts officers in documenting all fundraising activity in the donor database, including donor intelligence, revenue tracking, and general donor database management.
● Assist in the preparation of proposals, reports, correspondence, gift acknowledgments, donor/prospect meeting briefings, event briefings, and large-scale donor mailings.
● Ensure materials are accurate and packaged in accordance with PPFA/PPAF regulations.
● Conduct basic research to gather background information on donors and prospects.
● Assist with the maintenance and execution of the Portfolio Assignment Request queue, which tracks and documents all portfolio changes being made by PPFA and CFP gift officers in the donor database.
● Ensure the accuracy of moves management data and the PMG pipeline in Salesforce.
● Assist in the auditing, maintenance, and review for accuracy of donor records.
● Maintains a directory of database reports for the principal and major gifts team and CFP partners.
● Maintain a directory of electronic resources for the principal and major gifts team and CFP partners.
● Conduct administrative responsibilities such as note-taking, scheduling, and data entry as needed.
Engagement:
● This individual will partner with gift officers on the frontline fundraiser's team (70%) and collaborate with members of the Prospect Management team (30%) in support of vital business processes and data integrity across both teams.
● This individual will work closely with other coordinators and specialists, as well as staff members across the Strategic Operations teams and the CFP, to ensure that data and activity are compliant, comprehensively recorded, and well maintained.
Knowledge, Skills, and Abilities (KSAs):
● At least 1 to 2 years of related experience in fundraising, research, data management, administration, and/or analytics.
● Natural curiosity and ability to synthesize large amounts of data into a clear and concise format.
● Strong analytical, organizational, time management, and communication skills.
● Exceptional attention to detail.
● Excellent problem-solving skills, initiative, and resourcefulness.
● Strong interpersonal skills; ability to work in a team environment with multiple clients and stakeholders, both internal and external.
● Ability to work independently and manage large projects; ability to investigate an issue and ask thoughtful questions.
● Experience with Microsoft Office and/or Google G Suite Business Solutions
● A keen interest and flexibility to quickly learn new systems and software; experience with relational databases (SalesForce, Raiser’s Edge, Blackbaud CRM) a plus.

TRAVEL: 0-25%
$55,000 - $60,000 a year
