When you join PPGNY as the Manager, Special Events you will support in the planning and execution of in-person and virtual fundraising events, including panel discussions, cocktail receptions, galas, luncheons, benefit auctions, and peer-to peer fundraising initiatives in the Nassau County area. You will execute on event site research and logistics, budget management, vendor relations and onsite supervision. 
This position will be based in Region One out of the Hempstead office and will prioritize locally based events but will provide additional support to the PPGNY Special Events team at large, in every region, as directed, for both in-person and virtual special events.

Additional responsibilities include:

    • Develop invitation and guest lists.
    • Oversee solicitation and follow up of event tickets and contributions, collect RSVPs for respective events, and circulate RSVP lists within Development Department to ensure clear interdepartmental communication.
    • Support the Director of Individual Giving with donor cultivation outreach and local events and work to ensure that donors who enter the PPGNY Development pipeline through events receive appropriate introductions and cultivation.
    • Ensure that donors are provided with excellent customer service through all phases of event planning, execution, and post-event communications.
    • Coordinate the timely preparation, clearance, and production of all digital and printed event materials, including decks, invitations, and social media collateral, ensuring all required reviews occur and proper signoffs are secured.
    • Collaborate with event leadership and volunteers to coordinate procurement and management of in-kind gifts such as gift bag and silent auction items.
    •   Manage online auction platforms, cataloguing and signage for silent auctions as well as organizing auction placement, check out, and shipping for on-site events.
    • Oversee regional event venue research and site visits, maintaining current knowledge of venue capacities, functionality, and availability.
    • Research, vet, and manage regionally based event vendors including caterers, A/V and lighting companies, florists, and photographers
    • Recruit for, organize, and manage groups of locally based staff and/or external volunteers for on-site events. 
    • Oversee post-event activities including creating and mailing tax acknowledgment letters, organizing debrief meetings, and with local Director of Individual Giving, ensure that new prospects are entered into the Development pipeline appropriately
    • Provide support for affiliate-wide peer-to-peer fundraising events such as the TD Five Boro Bike Tour, and the NYC Marathon, as well as administrative support to the Director, Special Events, including scheduling meetings and processing check requests, as needed

You have:

    • High school diploma/GED
    • 3 years’ experience in fundraising and/or special events including venue and vendor management, event timelines and production schedules, ticketing, and seating
    • Familiarity with online fundraising platforms, such as EveryAction or MobileCause
    • Familiarity with Raiser’s Edge
    • Familiarity with nonprofit events planning including invitation mailings, ticket and table sales campaigns, sponsorship, silent auction management, and working closely with volunteer leadership and donors/donor relations

What makes you stand out:

    • Preferred – 3-5 years of experience in Development or Special Events in the nonprofit sector.
    • Familiarity with the Nassau County area, local venues, vendors, and regional culture.

Compensation

    • $60,000-70,000

Proof of immunization or immunity to certain communicable diseases (including influenza during the flu season and Covid-19) and testing for tuberculosis. These certifications are required by the NYC DOHMH Health Code, NYSDOH and OSHA.
