The Administrative Assistant facilitates the efficient operation of assigned departments by performing a variety of clerical and administrative tasks. This role serves as front desk receptionist, administrative support for the Board of Directors and completes human resource HRIS functions. Position requires excellent customer service, computer, communication, organization, administrative, and teamwork skills.

Essential Job Functions

    • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations. Operates the secure entry system to ensure authorized personnel have access to the administrative offices.
    • Perform general office duties, such as ordering supplies (including coffee supplies) maintaining records management database systems, and performing basic administrative functions.
    • Collect, sort, and distribute inbound correspondence.
    • Schedules Board of Directors meetings and other affiliate events, completes travel arrangements. Prepare Board of Directors meeting agendas including sub-committees and attends meetings to record and distribute minutes.
    • Responds to and resolves administrative inquiries and questions.
    • Performs administrative HR functions that include processing applications and background checks, gathering new hire paperwork, adds new hires to the HRIS system, completes the onboarding process up to the new employee orientation day.
    • Provides employee updates to the communications team for newsletters.
    • Responds to employment verification requests.
    • Supports the Chief of Staff in preparing for leadership and board of director meetings.
    • Maintains employee information in HRIS throughout an employees’ work cycle; add new employees and contractors, process employees’ changes (transfers, locations, salary increases, etc.). Maintains accurate manual and electronic employee records and assists with the record retention program.
    • Manages the ongoing maintenance of records and data, employment verifications, various audits, and participates in work processes to prepare for accreditation.

Work Environment

    • Work is performed in an office unless a designated health event is active.
    • Evening and weekend work may be required.
    • Use of hands and fingers involved in work which is performed through the extensive use of computer systems, email, phone and fax machines, security system, copiers and scanners.
    • Handwritten paperwork is performed. 
    • Employee is required to sit for extended periods with prolonged exposure to computer monitors.
    • Must operate various input/output devices including keyboard and computer mouse. 
    • This position carries some level of exposure to conflict and/or antagonism by those opposed to the mission of PPGP.
    • The noise level in the work environment is usually moderate.

Physical Demands

    • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
    • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear.  The employee frequently is required to reach with hands and arms.  The employee is occasionally required to walk.  The employee must regularly lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. 

Position Type/ Expected Hours of Work

    • This is a full-time position. PPGP’s basic workweek is 37.5 hours.
    • Work day is 7.5 hours.

Education and Experience

    • Required Education and Experience
    • Associates degree or relevant experience
    • Three to five years of experience in an administrative role.
    • Preferred Education and Experience
    • Bachelors degree in related field preferred.
    • Prior experience with Human Resources preferred.

Salary Range -  $41,000-$46,000
