The Professional Training & Systems Project Manager (PTSPM) is primarily responsible for the administrative and technical support of all virtual and in-person professional education and training opportunities of the Get Real and Professional Training Institute, in collaboration with the ASPIRE Center for Sexual and Reproductive Health. This includes coordinating all logistics for PPLM’s vast array of virtual and in-person webinars, half-day, full-day, and multi-day trainings, including expanding marketing efforts for all of our offerings. The PTSPM is responsible for managing systems and data, including serving as website administrator of getrealeducation.org and its accompanying platforms, serving as a super user of both the Customer Relationship Manager (CRM) and Learning Management System (LMS), and communicating with PPLM’s publishing and website vendors on product, content, and related customer logistics. The Professional Training & Systems Project Manager will support the trainer(s) in logistical and/or content-based co-facilitation of our offerings such as Get Real TOEs and TOTs, the Sexuality Education Cornerstone Seminar (SECS), and other trainings on a variety of sexual and reproductive health education topics when requested. Finally, this position will manage our Protection Methods Kit Program including building out materials, sustaining inventory, and tracking sales and buyer communications.

TRAINING LOGISTICS & ADMINISTRATION RESPONSIBILITIES:

    • Manage registration and payment processes for all trainings through EveryAction and/or the CRM, in collaboration with ASPIRE Center Project Manager.
    • Manage logistics of all trainings, including, but not limited to: scheduling trainers, space reservation (on-site and virtual), set up, shipment of materials, evaluations, certificates, CEUs, PowerPoint presentations, staff travel and accommodations, expense reports, and communication with both trainers and trainees.
    • Manage technology for virtual trainings using video conferencing platforms, third-party tools, and other educational technology tools, between one to seven hours at a time between 1-3 times per week during the training season.  
    • Co-create new sections for existing trainings and develop new subjects and training designs for webinar and half-day offerings, as needed.
    •  Research and maintain compliance with CEU partners by submitting applications on time.
    • Adhere to PPLM customer service standards when representing PPLM; provide an environment that is clean, comfortable, and well-maintained; communicate effectively to positively impact all customer/community interactions; value, respect, and understand customer needs; meet customer/community needs.
    • Oversee the Protection Methods Kit program including materials procurement, building and sustaining inventory, Kit production, marketing, sales, invoicing, and shipping; revenue and expense tracking, and customer and publisher communications.

MARKETING & OUTREACH RESPONSIBILITIES:

    • Coordinate marketing campaigns and materials for all Get Real products (English and Spanish), including writing emails and copy for marketing collateral, as well as designing, formalizing, and automating a follow-up process with those who purchase the curriculum without training.
    • Coordinate and expand marketing plan in collaboration with the PPLM Marketing Team for professional trainings including emails, flyer creation, social media postings, and development of new participant recruitment strategies.
    • Engage with other like-minded organizations to identify other newsletters and audiences to promote and market trainings.
    • Serve as a brand ambassador for professional education offerings and continue to develop the overall brand and reputation of PPLM’s professional education offerings, in alignment with the ASPIRE Center.

DATA & SYSTEMS RESPONSIBILITIES:

    • Manage online learning opportunities such as webinars and online course registration, serving as administrator for the Online Course
    • Serve as Get Real website administrator, including but not limited to: trouble-shooting login issues, creating all gre.org accounts, and managing access for all users,
    • Contribute to and maintain Educator Resources content on getrealeducation.org including but not limited to: writing and posting blogs, FAQs, videos, webinars, resources, and updated information.
    • Manage updates for training content on pplm.org website.
    • Manage all training evaluations via Survey Monkey and/or the CRM.
    • Track and report on trainings, participants, and data in CRM (Dynamics 365).
    • Serve as an administrator of Dynamics 365 (CRM) for the Education, Learning and Engagement department, in collaboration with the Project and Systems Manager.
    • Contribute to data administration, consolidation, and reporting for grantors and budgeting, as requested.
    • Serve as EveryAction Affiliate Online Communications Manager for PPLM, including creating high-performing external communications and online forms

OTHER DUTIES AND RESPONSIBILITIES:

    • Other tasks and responsibilities as needed.
    • Occasional evening or early morning hours.
    • Occasional travel to training sites when necessary.

QUALIFICATIONS

    • B.A/B.S preferred
    • 2-3 years’ experience in training and administrative coordination
    • Website, database, and online learning management experience, required
    • Fluency in virtual engagement platforms: Microsoft Teams, Zoom, Skype, etc., required
    • Familiarity with any of the following a plus: Moodle, Drupal, EveryAction, Microsoft Dynamics, Confluence, ReqLogic, PowerBI, Survey Monkey, Google Analytics, Canva, Piktochart, Adobe (Acrobat, Photoshop)
    • Skilled with MS Office (Word, Excel, Access, Outlook, PowerPoint, Publisher, Visio)
    • Expert communicator, strong oral and written communications skills, preferably in a marketing environment
    • Experience with adult education and training, preferred
    • Experience in and knowledge of sexual health and reproductive health and sexuality education, preferred
    • Demonstrated ability to juggle multiple projects, priorities, and deadlines in a fast-paced environment
    • Spanish language a plus
    • Demonstrated ability to work with people of different races, ethnicities, sexual and gender identities and expressions, ages, abilities and experiences.
    • A commitment to PPLM’s mission and values, including addressing the impact of racism and other oppressions on sexual health.
$30.31 - $30.31 an hour
This position is part of the Collective Bargaining Agreement.
