Job Overview: Under the direction of the Director of Executive Affairs, the Administrative Coordinator is part of a three-person team that provides high-level executive support and project coordination agency-wide. In addition to being assigned to one or multiple PPM Leadership Team members to provide direct support for them, Administrative Coordinators will also be assigned to coordinate and provide administrative support to numerous agency programs and projects. Administrative Coordinators will support key office operations such as mail receiving and sorting, financial reporting and reconciliations, and SharePoint file management. Administrative Coordinators will provide support to one another, as needed, to ensure consistent coverage and support.

Hybrid role: 3-4 days per week in the office.

Executive and Departmental Support:

    • Provides primary administrative support to assigned Executive(s): maintains and manages calendars, coordinate meeting scheduling, and creates, edits, and distributes materials as needed; screens and responds to mail and telephone calls as requested.
    • Provides administrative support for assigned departments. Prepares agendas, takes notes, and facilitates and distributes information for meetings. Follows up with staff and managers on action items.
    • Provides support for on and off-site meetings, including meeting management, meeting minutes, catering, and technology.
    • Supports assigned Executive(s) with preparing and submitting monthly company credit card reconciliations and expense reports.

Office Administrative Support:

    • Works with fellow Administrative Coordinators to receive and sort agency mail on a rotation.
    • Provides in-office support on assigned days, to include maintaining well-stocked kitchen and conference areas, and monitoring the administrative space for tidiness and maintenance needs. Reports issues to Facilities in a timely fashion.
    • Provides other in-office administrative support, as assigned.

Project/Program Coordination:

    • Collaborates with assigned Leadership Team members and departments to provide program/project coordination support. Projects can range from coordinating external learners for Clinical Services, to providing centralized travel booking support for Finance.
    • Provide additional special project support, as assigned.

Education and Experience:

    • High school diploma or equivalent required.
    • Minimum of four (4) years of professional experience required.
    • Knowledge and ability to learn appropriate software including: Microsoft Word, Excel, Outlook, SharePoint, PowerPoint, and Adobe Acrobat.
    • Demonstrated enthusiasm for the Planned Parenthood brand and organization.
    • Ability to research and present solution-oriented ideas to everyday challenges and inefficiencies.
    • Superior ability to multi-task and manage competing and complex priorities.
    • Strong commitment to accurate and quality work-product.
    • Exhibits superior ability to convey messages both diplomatically and politely.
    • Uses awareness to build and maintain effective working relationships.
    • Strong written and oral communication skills.
    • Ability to lift up to 25 pounds on occasion.
    • Must maintain 100% confidentiality of information whose disclosure would be contrary to the best interest of the agency or would be a breach of professional ethics.

$45,000 - $55,000 a year
