What is cool about this job?
The Administrative Coordinator for Patient Services provides high-level administrative support to our Patient Services department. This includes handling confidential and time-sensitive affiliate information and collaborating with multiple departments.

Who You Are

    • Passionate about reproductive healthcare and access!
    • Experience (1-2 years) in administrative/office management tasks
    • Strong ability to manage and prioritize multiple duties
    • Strong attention to detail and organizational skills especially with digital files and media
    • Significant experience and demonstrated fluency in using MS Office tools including SharePoint, One Drive, Excel, Word, as well as Adobe Acrobat
    • Self-motivated and proactive
    • Excellent interpersonal skills

Bonus if!

    • Experience (2-4 years) in an administrative support role
    • Experience using Docusign and Revver, or similar programs

What You'll Do (but not limited to)

    • Provide administrative support and facilitate efficient operations of the Patient Services department.
    • Take meeting minutes, distribute meeting agendas, and schedule meetings for the team.
    • Confirm that facility and operational licenses and certificates for health centers are up to date and filed appropriately in Sharepoint
    • Partner with the Compliance department and Clinical Leadership to complete renewals as needed. Ensures proper licensing and certification are displayed and on record in health centers.
    • Manage and maintain compliance of Patient Services documents for each health center, including uploading competencies and other items as requested by health center leadership to Revver.
    • Maintain patient services manuals and clinical forms
    • Ensures proper maintenance of all Patient Services documentation in Sharepoint and policies on PolicyStat and system for printing these forms for the health centers.
    • Update and maintain health center hours of operation schedule per affiliate policy.
    • Provide administrative support for the maintenance and tracking of contractual agreements with appropriate colleges, universities, and hospitals.
    • In partnership with the Strategic Operations Manager, maintain and coordinate schedules of resident and medical student trainees.
    • Assist with projects as needed across departments within the affiliate.
$27.92 - $32.94 an hour
Schedule:  
Full-Time position working 40 hours/week
M-F 8:30 AM - 5:00 PM
May be required to work weekends or attend staff meetings outside of regular work schedule

Hybrid Work Style; Candidate must be based in/near Charlotte, NC or the Triangle area (Raleigh, Durham, Chapel Hill) of NC.

Travel Required; some/minimal through the affiliate service area

Compensation:  
PPSAT's compensation philosophy is based on equity and transparency.  Each job at PPSAT is assigned a pay grade built on market data. For an individual coming into PPSAT, we set a pay generally between the minimum and the midpoint of the pay grade. Starting offers are determined by the candidate's relevant experience and internal equity within the pay grade. The hiring range for this position is $27.92 to $32.94 per hour.
