Position Summary:
Under direct supervision, assists in the preparation, review, and administration of customer qualification, customer contract, and subcontract documents for a variety of projects. Provides support for specific groups, managers, departments, and/or project teams with all contract administration tasks.
What You Will Do
- Provide support to all Project Management teams and other Corporate Departments as necessary across all regions of PRIME with regard to Compliance tasks.
- Assist team with inter-departmental distribution of emails to shared in-boxes to ensure efficiency and timely responses.
- Assist team with processing Customer Qualifications, Customer Contracts, Subcontract issuance, compliance follow-ups, tracking, logging, and filing including but not limited to:
- Assist team with various special projects.
- High efficiency and accuracy for necessary Data Entry into Smartsheet and Accounting System (Vista).
- File, scan, and index all documentation into digital vault system (pVault).
- Participate in team meetings, collaboration sessions and other inter-company meetings as needed while contributing key information to team members.
- Adhere to the PRIME Safety Program, complying with safety regulations, procedures and safe work practices.
- Maintain a physical presence onsite and provide assistance to specific groups, managers and project management teams as needed.
- Perform other duties as requested; duties, responsibilities and activities may change, or new ones may be assigned at any time with or without notice.

o Compliance tracking and adherence by sub-tiers and all related activities.
o Subcontract invoicing entry (Accounts Payable) and all related activities.
What You Will Need to be Successful
- High school diploma or GED and 1-2 years’ experience in a role focusing on one or more of the following: Contract Administration, Accounts Payable, Accounts Receivable, Sub-Tier Compliance, Site or Project Coordination; or equivalent combination of education and experience.
- Construction industry experience a plus.
- Strong communication skills, both written and verbal, with the ability to effectively, professionally, and diplomatically interface at all levels (customers, clients, subcontractors, vendors, peers, field personnel, managers, and executives).
- Strong attention to detail.
- Customer-focused with an ability to meet deadlines in a fast-paced environment.
- Intermediate to advanced Microsoft Office Suite skills.
- Intermediate to advanced Adobe Acrobat, Blue Beam and Smartsheet skills.
- Solid organizational, prioritization and multi-tasking skills.
- Must possess a sense of urgency while maintaining accuracy.
- Ability to meet deadlines in a fast-paced environment.
- Takes initiative to provide support and all necessary follow-ups and follow-throughs to complete the task.
- Intuitive nature with an emphasis on furthering efficiencies within the department and PRIME.
$22 - $25 an hour
